About the Firm:
We are a well established boutique accounting and tax firm opening a new office in Oro Valley. We provide high-touch, highly personal service to individuals, families, business owners, and other clients. Our work includes personal and business tax preparation/services/advising, accounting, trusts, estates, and related financial matters. Because we have worked closely with our clients over many years, relationships, discretion, responsiveness, and attention to detail are extremely important to us. We are looking for a part-time Office & Client Services Admin to become an important part of our practice.
The Position:
This is a 20-hour-per-week position, additional hours will be available during tax season and other times of the year as need develops, 9:00 AM - 1:00 PM, Monday - Friday
We are looking for someone who is organized, dependable, personable, discreet, and professional. The ideal candidate enjoys helping people, takes pride in doing things correctly, and is comfortable working in a small office where everyone contributes.
This is not a high-volume call-center or basic clerical position. Our clients expect personal attention and excellent service, and we expect the same level of care from the people who represent our firm.
Responsibilities:
Responsibilities will include a combination of office administration, client service, and support for the firm's accounting and tax work, including:
• Greeting and assisting clients in a warm, professional manner
• Answering and directing telephone calls and responding to routine client inquiries
• Scheduling appointments and coordinating client meetings
• Receiving, organizing, scanning, and electronically filing client documents
• Helping clients with the delivery and collection of tax and accounting information
• Preparing correspondence, forms, checklists, and other office materials
• Maintaining organized and accurate client files
• Tracking outstanding documents and following up with clients when appropriate
• Assisting with tax-season administrative work
• Entering information accurately into firm software and systems
• Handling sensitive financial and personal information with absolute discretion
• General office organization and administrative support
• Helping the professional staff stay organized and focused on client work
There will be opportunities to take on additional responsibilities as your knowledge of the firm and our clients develops.
What We're Looking For:
The most important qualifications are judgment, reliability, organization, and personality.
You should:
• Be exceptionally dependable and conscientious
• Have excellent attention to detail
• Communicate clearly and professionally, both verbally and in writing
• Be comfortable interacting with successful professionals, business owners, and families
• Treat confidential financial and personal information with the highest level of discretion
• Be comfortable using computers and learning new software
• Be organized and able to keep track of multiple tasks
• Be willing to ask questions rather than guess when something is unclear
• Take pride in doing work accurately and completely
• Be comfortable working independently once trained
• Have a friendly, service-oriented personality
Prior experience in an accounting, tax, legal, financial-services, or other professional office is helpful but not required for the right person.
Experience with accounting software, Drake Tax Software, QuickBooks, Microsoft Office, or similar systems is a plus.
Who Will Do Well Here:
The right person is likely someone who enjoys being the person others can count on. You don't need to be an accountant. You do need to be intelligent, organized, mature, discreet, and comfortable dealing with people. If you are the type of person who notices that something needs to be done and simply takes care of it, communicates well with clients, keeps excellent records, and can be trusted with sensitive information, we'd like to meet you.
Compensation:
$20–$26 per hour, depending on experience and qualifications. We believe in paying a fair wages and treating staff as we would want to be treated. The starting rate will reflect the experience and capabilities you bring to the position.
To Apply:
Please submit a resume and a brief note telling us about your background, your availability, and why you think you would be a good fit for a small, client-focused professional firm.
We are interested in finding the right long-term addition to our team, not simply filling a seat.
Principals only. Recruiters, please don't contact this job poster.
