Looking for a dependable, organized, and proactive Assistant to help with the day-to-day customer administration for a busy executive.
This is a hands-on role for someone who is comfortable working with email, spreadsheets, CRM systems, and a variety of administrative tasks. The ideal person is organized, communicates well, pays attention to detail, and can take a task and run with it without needing constant direction. Willing to train the right person (if needed) - but you have to be able to learn.
What You'll Be Doing:
- Managing and organizing email, including responding to routine emails and following up when needed
- Helping prioritize and keep track of incoming communications
- Working in HubSpot to update contacts, manage information, track activity, and maintain accurate records
- Returning emails and other communications in a timely and professional manner
- Working with Excel and other worksheets to enter, organize, and track information
- Creating and maintaining spreadsheets and simple reports
- Data entry and keeping business information organized
- Assisting with various administrative projects as they come up
- Helping keep tasks, follow-ups, and deadlines organized
- General office and administrative support
- Other miscellaneous projects and tasks that help keep the business running smoothly
What I am looking for...
Experience is important, but attitude is everything -- I'll take a good attitude over experience any day! I value organization, common sense, reliability, and a willingness to learn are just as important. I am big on a good personality!
The ideal candidate:
-- Is comfortable using Microsoft Excel and other Microsoft Office programs
-- Has strong written and verbal communication skills
-- Is comfortable learning and working in HubSpot or similar CRM software
-- Is organized and detail-oriented
-- Can manage multiple tasks without becoming overwhelmed
-- Is comfortable working independently once given direction
-- Has good judgment and knows when to ask questions
-- Is dependable and follows through on commitments
-- Has a positive attitude and is willing to help with a variety of tasks
-- Can handle confidential business information professionally
Schedule
This is a part-time W-2 position, with 3 to 4 days in the office with approximately 20 hours per week. There is some flexibility in scheduling, but the position must be on-site at least 3 - 4 days per week.
Additional hours may be available within the 20-hour weekly budget depending on workload and business needs.
Compensation will be based on experience and qualifications, but $18 ~ $24 / hour is what I'm budgeted for (for now)... If you do well, then there is no question that this could change. This is a W-2 employee position.
Location: Business park area in Temecula
We're looking for someone who wants to become a reliable part of the team... Not someone who simply wants to complete a checklist of tasks and go home. If you're organized, capable, curious, and enjoy helping make things run more efficiently, we'd like to hear from you.
