Role Overview: The Assistant Office Manager supports daily administrative, operational, and organizational tasks for BDD Family Foods Inc., ensuring the office runs efficiently and the business stays coordinated across production, sales, markets, and vendor relationships. This role is ideal for someone who is detail oriented, proactive, and comfortable working in a fast paced food business environment. You will report directly with the CEO and CFO.

Shift and schedule: Flexible, may include some weekends.
Job Type: Part-time and Full-time
Pay: From $20 - $24 per hour

Key Responsibilities
• Office Administration — Manage filing, record keeping, scheduling, and general office organization.
• Order & Inventory Coordination — Assist with ingredient orders, packaging supplies, vendor accounts, and tracking stock levels.
• Farmers Market Support — Prepare market paperwork, update calendars, confirm bookings, and organize weekly market materials.
• Communication Management — Draft emails, respond to inquiries, coordinate with vendors, market managers, and customers.
• Production Support — Maintain recipe logs, batch sheets, labeling documents, and compliance paperwork.
• Financial & Administrative Tasks — Assist with invoicing, receipts, expense tracking, and basic bookkeeping support.
• Compliance & Permits — Help maintain updated certifications, permits, renewals, and city/county documentation.
• Scheduling & Coordination — Support calendars for production days, deliveries, staff shifts, and special events.
• Customer Service — Handle customer messages, wholesale inquiries, and follow ups with professionalism and warmth.
• Marketing Support — Assist with flyers, social media posts, product descriptions, and brand messaging.
Qualifications
• Bilingual English/ Spanish, written and verbal;
• Demonstrated progressive leadership capabilities;
• Proactive problem-solving skills;
• Comfortable working collaboratively in a team setting and independently
• Ability to communicate in a professional manner consistently and dependably via E-mail and phone;
• Comfortable with spreadsheets, email platforms, and basic office software
• Ability to use social media platforms including Instagram and Facebook.
• Working knowledge of Food Safety regulations, ServSafe Certification Required (can be attained upon hiring);
• Experience in food service, small business operations, or farmers markets is a plus
• Will train upon hire.
