A founder and senior executive overseeing multiple businesses is seeking a highly organized, trustworthy, and resourceful professional to provide executive and operational support across a portfolio of growing ventures.
The portfolio includes an investor-backed AI automotive startup, a global boutique consulting and advisory firm, a technology-focused business venture, and executives' personal business activities. These ventures are involved in areas including technology, automotive services, strategic consulting, international business development, partnerships, and market expansion.
Because confidentiality is important, the names of the executive and affiliated companies will be shared with qualified candidates during the interview process.
About the Role-
We are seeking a part-time Executive Assistant / Multi-Company Executive Operations Coordinator to work directly with a founder who presently holds executive responsibilities across several companies.
This is not a traditional administrative-only position. The selected candidate will help the executive coordinate calendars, communications, priorities, meetings, payments, travel, and follow-up responsibilities across multiple business interests.
The right person will create structure around a fast-moving executive, distinguish between the priorities of separate companies, and ensure that important commitments do not fall through the cracks. The role will also include limited support for the executive’s personal business matters and occasional local errands or transportation-related assignments.
The ideal candidate is proactive, dependable, discreet, and comfortable working in an entrepreneurial environment where priorities may change quickly.
This position will begin as a part-time role requiring approximately 15–20 hours per week. At the conclusion of the initial 90-day period, the selected candidate will be considered for transition into a full-time salaried position, based on performance, demonstrated fit, the evolving needs of the executive and affiliated companies, and mutual agreement.
The full-time opportunity may develop into a broader Senior Executive Assistant, Executive Operations, or Chief of Staff role, with increased responsibility across the executive’s portfolio of companies.
Key Responsibilities:
*Executive and Calendar Management
*Manage and coordinate the executive’s calendar across multiple companies and business interests.
*Schedule internal meetings, partner discussions, investor calls, appointments, travel, and business events.
*Identify scheduling conflicts and help the executive determine which matters require immediate attention.
*Maintain a centralized view of priorities, deadlines, commitments, and pending decisions across the portfolio.
*Protect the executive’s time while ensuring that critical relationships and responsibilities receive appropriate attention.
*Communications and Follow-Up
*Monitor important communications and help ensure that emails, messages, and requests receive timely responses.
*Draft, proofread, and organize professional correspondence on behalf of the executive.
*Prepare meeting agendas, background materials, notes, and follow-up communications.
*Track action items and follow up with team members, partners, vendors, clients, investors, and other stakeholders.
*Communicate professionally and appropriately while representing the executive and affiliated businesses.
*Business and Operational Support
*Help organize priorities across company operations, partnerships, fundraising, technology, marketing, consulting engagements, and market-expansion initiatives.
*Maintain separate and clearly organized files, calendars, contacts, tasks, and records for each business.
*Coordinate travel arrangements, itineraries, reservations, events, and related logistics.
*Assist with special assignments and cross-company projects.
*Organize contracts, invoices, receipts, expense records, presentations, and executive materials.
*Identify missed commitments, overdue items, and emerging operational issues before they become larger problems.
*Payments and Financial Administration
*Assist with approved business payments, purchases, invoices, reimbursements, and expense tracking.
*Responsibly use and safeguard a company-provided credit or debit card for authorized business expenses.
*Maintain accurate receipts and supporting records for all purchases and transactions.
*Follow established approval and documentation procedures.
*Protect confidential financial, banking, company, and personal information.
*Personal Business and Local Support
*Provide limited assistance with the executive’s personal business activities and administrative responsibilities.
*Complete occasional local errands, document deliveries, purchases, pickups, or other approved assignments.
*Travel locally between Northern Virginia, Washington, DC, Maryland, and surrounding areas when required.
*Maintain clear boundaries, confidentiality, and accurate records for business and personal-business expenses.
Required Qualifications:
*Prior experience supporting an executive, founder, entrepreneur, business owner, or senior leader.
*Exceptional organizational, time-management, and follow-through skills.
*Ability to coordinate priorities across multiple companies without confusing responsibilities, information, or records.
*Strong written and verbal communication skills.
*Ability to work independently, anticipate needs, and determine appropriate next steps.
*Professional judgment when communicating or completing assignments on behalf of an executive.
*High degree of discretion, integrity, and reliability.
*Ability to handle confidential business, financial, and personal information.
*Strong attention to detail when managing payments, purchases, receipts, and expense documentation.
*Working knowledge of Google Workspace, Microsoft Office, electronic calendars, spreadsheets, video-conferencing platforms, and project-management tools.
*Reliable access to a computer and mobile phone.
Transportation Requirements:
*Reliable personal transportation is required.
*A valid driver’s license and good driving record are required.
*The candidate must be comfortable completing occasional local travel and business-related errands throughout Northern Virginia, Washington, DC, Maryland, and surrounding areas.
*Any applicable mileage reimbursement or transportation-expense policy will be discussed before hire.
Background Check-
Employment will be contingent upon successful completion of a background check conducted with the candidate’s knowledge and authorization and in accordance with applicable law.
Because this position involves access to confidential information, authorized payments, company funds, and a company-provided payment card, the screening process may include identity, employment, criminal history, and driving-record verification, as legally permitted.
Preferred Qualifications:
*Experience supporting an executive with responsibilities across multiple businesses.
*Experience with startups, technology companies, automotive businesses, consulting firms, logistics, marketplaces, or professional-services organizations.
*Experience coordinating executive travel, events, partnerships, or investor-related activities.
*Experience handling business expenses, company payment cards, invoices, and reimbursements.
*Familiarity with CRM, project-management, AI-productivity, or workflow-automation tools.
*Located within a reasonable travel distance of Northern Virginia or Washington, DC.
*Interest in growing into a broader Executive Operations or Chief of Staff position.
What Success Looks Like-
Within the first 60–90 days, the selected candidate should be able to:
*Establish a reliable calendar, communications, and follow-up system across the executive’s different companies.
*Maintain a clear and current list of priorities, commitments, deadlines, and pending decisions.
*Keep the activities, documents, expenses, and responsibilities of each business properly separated and organized.
*Improve preparation and follow-through for meetings, projects, and external relationships.
*Reduce missed communications, scheduling conflicts, and last-minute administrative issues.
*Process authorized purchases and payments accurately, with complete supporting documentation.
*Allow the executive to devote more time to company growth, partnerships, sales, fundraising, and strategic decisions.
*Schedule and Work Arrangement
This position requires approximately 15–20 hours per week during the initial 90-day period. Some responsibilities may be completed remotely, but the candidate must be available for scheduled in-person meetings, local errands, and assignments in Northern Virginia, Washington, DC, Maryland, and surrounding areas.
Reasonable schedule flexibility is required because executive priorities, travel, and meetings may change. The anticipated weekly schedule and expectations regarding availability will be discussed during the interview process.
Following successful completion of the 90-day introductory period, the position may transition into a full-time salaried role with expanded responsibilities and a mutually agreed-upon compensation and benefits structure.
