We are a privately held company with interests in commercial real estate, fashion, and related ventures. Our office is the hub for all of it: deals get negotiated here, vendors come through here, and our executives run their days out of here.
We are looking for one person to own that space and make it run.
This is a front-desk and office-management role, but it is not a receptionist job where you sit and wait for the phone. You will be the person who notices the coffee is out before anyone complains, who knows the cleaning company's account rep by name, and whom the CEO trusts to get a conference room ready for a 9 a.m. executive meeting.
WHAT YOU'LL DO
- Run the front desk: greet guests, manage arrivals and departures, keep the reception area sharp
- Handle all incoming and outgoing mail, packages, and courier deliveries
- Keep the kitchen, coffee station, supply closet, and file room stocked, organized, and presentable
- Coordinate with building management, the cleaning company, and outside vendors: office supplies, IT, water, plants, repairs
- Support the CEO and executive team with meeting logistics: scheduling, room setup, catering, materials, visitor coordination
- Maintain physical and digital filing, including lease files and vendor records
- Take on the miscellaneous: the errands, the projects, the things that come up in a small office where everyone wears several hats
WHO WE'RE LOOKING FOR
- 2+ years in office management, executive support, hospitality, or a comparable role where you were responsible for how a place ran
- Genuinely organized. You keep a system and you keep it current
- Warm and professional with guests, tenants, brokers, and vendors. You are the first impression of this company
- Comfortable with Microsoft Office and Google Workspace, and able to pick up new software quickly
- Discreet. You will be around confidential financial, legal, and personnel information
- Self-directed. In a small office, nobody will be handing you a task list every morning
DETAILS
- Schedule: Monday through Friday, 10:00 a.m. to 6:00 p.m., in office
- Compensation: $25/hr
- Location: Lynbrook, NY
- Start date: ASAP
