HERITAGE FIRE SECURITY
Fire Protection Operations Coordinator
Fire Alarm & Sprinkler Subcontractor Management
Hackensack, NJ · Full-time · In office (not remote) · COMPENSATION based on experience
About Us
Heritage Fire Security is a family-led fire and life-safety company built on four generations of fire protection experience. We manage fire alarm, sprinkler, extinguisher, and life-safety service for commercial customers, from single buildings to national multi-site portfolios, using a network of licensed subcontractors across the country.
We are looking for people who know fire protection and want to put that knowledge to work from the office: leading our contractors, keeping jobs moving, and making sure every job is done right and documented.
The Role
You will own fire alarm and sprinkler jobs from the moment a work order comes in until it is completed, documented, and ready to invoice. You will be the person our subcontractors answer to. This is not a field position. It is a phone-and-computer role for someone who understands the work and can hold contractors accountable.
What You’ll Do
•Assign fire alarm, sprinkler, and backflow work to qualified, licensed, and insured subcontractors.
•Schedule inspections, testing, service calls, and repairs; confirm site access and arrival times.
•Make sure every job has a written work order, PO, or not-to-exceed amount before work begins.
•Confirm a monitoring and impairment plan is in place before any live system is taken out of service.
•Follow up with contractors until the job is done: on time, in scope, and to code.
•Collect inspection reports, photos, and signed work orders quickly, and review them for completeness.
•Review deficiencies and repair quotes, and keep customers updated on status and next steps.
•Hold contractors accountable for response time, quality, pricing, and paperwork; address problems directly and professionally.
•Close out jobs and prepare them for invoicing.
•Help find, vet, and onboard new subcontractors as we grow into new markets.
What You Bring
•2+ years of experience in fire alarm and/or fire sprinkler: as a technician, service coordinator, dispatcher, project coordinator, or service manager.
•Understanding of fire alarm and sprinkler inspection, testing, and maintenance (NFPA 72 and NFPA 25), deficiencies, and impairments.
•Confidence managing contractors: you can be firm, fair, and follow through.
•Strong phone, email, and organizational skills; comfortable juggling many open jobs at once.
•Comfortable with computers, spreadsheets, and work order systems.
Big Pluses
•Former field technicians ready to move into the office are strongly encouraged to apply.
•NICET certification in Fire Alarm Systems or Inspection and Testing of Water-Based Systems.
•Experience with facility management platforms such as ServiceChannel.
•Experience with multi-site retail, restaurant, or national accounts.
•Knowledge of New Jersey fire safety licensing requirements.
What We Offer
•Competitive hourly pay based on experience, with a performance review after your first three months.
•Steady, year-round, in-office work. No climbing ladders or crawling through attics.
•A growing company with room to advance into leadership roles.
•A family-run team where your work is noticed and valued.
