We are seeking a detail-oriented and organized Property Accounting Assistant to support the accounting and property operations of our manufactured housing communities. This position provides critical support to both the Accounting and Property (Portfolio?) Managers by assisting with accounts payable, vendor management, resident account inquiries, financial reporting, and day-to-day administrative operations.

Key Responsibilities
Accounting & Financial Support
• Process vendor invoices accurately and timely for multiple manufactured housing communities.
• Review and enter invoices according to the appropriate community, expense category, and general ledger accounts.
• Verify invoice approvals and supporting documentation
• Prepare vendor payments, check runs, ACH payments, and reimbursements for approvals
• Reconcile vendor statements and resolve billing discrepancies.
• Maintain vendor records, including W-9s, insurance certificates, and payment documentation.
• Assist with tracking recurring community expenses such as utilities, landscaping, trash services, repairs, and maintenance contracts.
• Assist with maintaining accurate property financial records and reports.
• Organize and maintain digital accounting files for reporting and audit purposes.
Community & Property Management Support
• Assist Community Managers with administrative and accounting-related tasks to support daily community operations.
• Process and track invoices related to property repairs, maintenance requests, contractors, and community improvements.
• Communicate with vendors regarding invoice questions, service completion, and payment status.
• Assist with tracking vendor compliance requirements, including insurance certificates and licensing documentation.
• Assist with preparation of resident notices, reports, and community correspondence as needed.
• Help maintain accurate records related to resident accounts, leases, and property documentation.
• Assist Community Managers with preparing reports on expenses, budgets, collections, and property activity.
• Coordinate with internal teams to resolve billing, maintenance, and operational issues.
• Provide administrative support for community inspections, projects, and special initiatives.
Qualifications Required
• 1–3 years of experience in accounts payable, accounting, bookkeeping, property management, or administrative support.
• Strong attention to detail and ability to maintain accurate records.
• Proficiency with Microsoft Office, especially Excel.
• Excellent organizational and communication skills.
• Ability to manage multiple priorities and meet deadlines.
• Professional and customer-service-oriented approach when interacting with residents, vendors, and team members.
Preferred
• Experience working with manufactured housing, mobile home communities, multifamily housing, or real estate operations.
• Experience with property management software, experience with Rent Manager a plus.
• Familiarity with accounts payable processes and general accounting practices.
• Associate degree in Accounting, Business Administration, or related field.
