Schedule: Monday–Friday, 6:00 AM–3:00 PM
Pay: $25.00 per hour
Job Type: Full-Time
We are a busy construction company looking for a dependable, detail-oriented Field Documentation & Billing Support Specialist to join our office team.
This position plays an important role in our daily billing process. You will be responsible for reviewing daily work sheets submitted by our field foremen, verifying that the information is complete and accurate, and organizing the documentation so it is ready for our office team to invoice customers.
What You'll Be Doing
• Review daily field sheets submitted by foremen and crews.
• Verify that all required information is complete, accurate, and easy to understand.
• Check job information, labor, equipment, materials, hours, quantities, and other supporting details as required.
• Identify missing, incomplete, or questionable information before paperwork is submitted for invoicing.
• Communicate directly with foremen and field employees when information is missing or clarification is needed.
• Follow up until missing information is received — simply noting that something is missing is not considered complete.
• Organize completed daily documentation for the invoicing team.
• Maintain accurate records and help keep paperwork moving on schedule.
• Assist with other administrative and billing-support duties as needed.
The Person We're Looking For
This position requires someone who is a self-starter and comfortable taking ownership of their responsibilities.
Our office moves quickly, and we need someone who can work independently without requiring constant direction or follow-up. If information is missing, we expect you to take the initiative to find it. That may mean calling or messaging a foreman in the field, asking questions, following up, and advocating for the information you need to complete your work.
You should be comfortable communicating with field personnel and not be afraid to pick up the phone and ask questions.
Qualifications
• Strong attention to detail and accuracy.
• Dependable and punctual — the 6:00 AM start time is important.
• Strong organizational and follow-up skills.
• Comfortable communicating with construction field personnel.
• Able to work independently and manage daily responsibilities without constant supervision.
• Confident asking questions and tracking down missing information.
• Basic computer skills, including email and Microsoft Excel.
• Previous construction office, billing, administrative, dispatch, or field-documentation experience is a plus
