A growing commercial & residential real estate property management firm is seeking a reliable, upbeat, and highly organized Administrative Assistant to support daily office operations and multiple managed properties.
Position Details:
- In-office (no work from home)
- Pay: $25 per hour + year end bonus
- Work will include office-based responsibilities as well as occasional errands to properties, vendors, and stores (such as Home Depot)
Responsibilities:
- Answer and direct incoming phone calls
- Assist with day-to-day office administration and keep the office organized and presentable
- File, scan, organize, and maintain digital and physical records
- Purchase, monitor, and restock office supplies
- Create and maintain property, supply, and maintenance inventory lists
- Make, label, organize, and distribute keys as needed
- Communicate with vendors, contractors, tenants, and maintenance personnel
- Request, collect, organize, and follow up on vendor bids for repairs and property issues
- Assist with tracking maintenance requests and property-related projects
- Create spreadsheets, reports, lists, and other administrative documents
- Pick up and drop off supplies and materials for maintenance crews (such as paint cans or sink faucets), including trips to Home Depot or similar vendors
- Order maintenance materials, supplies, and equipment as needed
- Take clear, thorough meeting notes and prepare meeting minutes
- Assist with organizing team lunches, office events, and occasional staff activities
- Help ensure tasks are completed promptly and follow up on open items
- Provide general administrative and basic property-management support as needed

- Able to take direction and also make decisions
- Team-player mindset with a willingness to help wherever needed
- Comfortable speaking with tenants, vendors, contractors, and prospective tenants
- Proficient with email, Microsoft Excel or Google Sheets, Word, and basic office technology
- Ability to prioritize multiple tasks and follow through on deadlines
- Comfortable running local errands and visiting commercial properties as needed
- Valid driver’s license and reliable transportation (must have a car)
- Previous administrative, office management, customer service, real estate, property management, or maintenance-coordination experience is preferred, but not required
