We’re looking for an Administrative Project Coordinator who wants to get in on the ground floor of a growing company and build a serious career in construction. We need someone sharp, organized, confident, resourceful and willing to take ownership.
You’ll support the Owner and Construction Managers while helping keep the administrative side of our projects exceptionally organized.
Responsibilities include:
Track subcontractor bids and maintain bid logs
Prepare and track subcontractor agreements, W-9s and certificates of insurance
Maintain organized project files and documentation
Keep project information, schedules, selections, tasks and documentation current in our construction management software
Assist Construction Managers with administrative needs, follow-ups and coordination
Help coordinate invoices and documentation for monthly client billing
Assist with accounting and invoice organization
Track outstanding items and relentlessly follow up until they are complete
Help coordinate meetings, schedules, project documentation and occasional errands
Assist the Owner with administrative and occasional personal tasks
Assist with our day-to-day social media presence, including project photos/videos, posts, reels and other marketing content
Who We're Looking For
This could be an excellent opportunity for a recent college graduate or someone in the first few years of their career. You don't need years of construction experience. You do need to be:
Meticulously organized and naturally detail-oriented
An exceptional written and verbal communicator
Confident enough to pick up the phone and get an answer
Comfortable following up repeatedly when something needs to get done
Tech-savvy and quick to learn new systems
Resourceful — you try to solve the problem before simply handing it to someone else
Professional enough to interact with sophisticated clients, architects and subcontractors
Fun, positive and enjoyable to work with
Comfortable in a fast-moving environment where priorities sometimes change quickly
Ambitious and genuinely interested in building a career
Eager to learn and take on new responsibilities
Experience & Education
Construction, business, project management, accounting or administrative experience is helpful but not required.
Compensation
$50,000-$60,000 base salary, depending on experience, plus performance bonuses.
