Rent Portland Homes Professionals is looking for an experienced, organized, and proactive Maintenance Coordinator to join our growing property management team.
We currently manage approximately 600 single-family homes, and we are looking for someone who has previous property management experience, preferably working with single-family rental homes. Experience using AppFolio is strongly preferred.
This is a fast-paced position that requires someone who can stay organized, prioritize maintenance needs, communicate effectively, and make sure work orders are followed through from start to finish.
Key Responsibilities
Receive, review, prioritize, and coordinate incoming maintenance work orders.
Communicate with tenants, property managers, property owners, vendors, and our in-house maintenance technician.
Coordinate and schedule outside vendors for repairs and maintenance.
Manage our in-house maintenance technician's daily schedule, keeping their schedule full and efficiently organized.
Determine which work orders should be assigned to our in-house technician and which should be sent to outside vendors.
Follow up on open work orders and vendors to ensure repairs are completed in a timely manner.
Coordinate estimates and obtain necessary approvals before work is completed.
Keep accurate notes and documentation for all maintenance activity in AppFolio.
Coordinate maintenance and repairs associated with tenant move-outs and property turns.
Perform and complete move-out inspections, documenting property conditions and identifying necessary repairs, cleaning, damages, or other work.
Create and coordinate turn work to get vacant properties completed and rent-ready as quickly as possible.
Track outstanding work orders and make sure nothing falls through the cracks.
Communicate delays, larger repairs, or concerns to the appropriate Property Manager.
Make sure vendors and maintenance technicians have the necessary information, access, and instructions before arriving at a property.
Experience & Qualifications
We are specifically looking for someone who has experience working in the property management industry.
Preferred qualifications include:
Previous property management experience.
Experience managing maintenance for single-family rental homes is strongly preferred.
Experience working with a larger rental portfolio is a plus.
AppFolio experience is strongly preferred.
Previous maintenance coordination, work-order management, or vendor coordination experience.
Strong organizational and time-management skills.
Excellent written and verbal communication.
Ability to manage a high volume of work orders and changing priorities.
Ability to problem-solve and make decisions without needing constant direction.
Strong follow-through and attention to detail.
Comfortable communicating with tenants, owners, vendors, and other members of the property management team.
Who We're Looking For
With a portfolio of approximately 600 single-family homes, this is not an entry-level maintenance coordination position. We are looking for someone who understands the pace and demands of property management and can confidently manage a large number of moving pieces.
The right person will take ownership of the maintenance department's daily workflow, stay ahead of outstanding work orders, keep our in-house maintenance schedule productive, and make sure vendors and repairs are being followed up on.
