Eagle Bear Construction (CA Lic# 1057007) is a residential renovation and remodel contractor based in Truckee, serving Truckee and North Lake Tahoe. We’re looking for an organized, experienced Office & Project Administrator to run the back end of the business so our field team can focus on building.
You’ll be the hub between clients, subs, the building departments, and our field crew. If you’ve worked in a construction office and know how permits, contracts, and estimates actually move, we want to talk to you.
What you’ll do:
Prepare, submit, and track permits with Placer County, the Town of Truckee, and other local agencies, and respond to plan check comments
Manage the company inbox, answer client and sub emails promptly, and keep things moving
Coordinate clients, subcontractors, suppliers, and the field team on schedules, selections, and changes
Support estimating by gathering sub and supplier bids, doing quantity takeoffs, and assembling proposals
Prepare and track contracts, change orders, and lien releases
Keep project files, permits, plans, and documentation organized
Assist with invoicing, payment tracking, and vendor paperwork
Support scheduling and help keep projects on track from contract through closeout
What we’re looking for:
3+ years in a construction office, GC admin, project coordinator, or similar role
Hands-on experience with permitting and the building department process
Working knowledge of estimating, contracts, and change orders
Strong written communication, since you’ll be the voice of the company in many emails
Highly organized and able to juggle multiple projects without dropping the ball
Comfortable with Google Workspace, Excel, and PDF markup tools
Familiarity with [QuickBooks / Buildertrend / JobTread / CoConstruct] is a plus
Local knowledge of Tahoe/Truckee agencies (TRPA, Placer County, Town of Truckee) is a big plus
Pay & schedule:
$[30-45]/hr DOE
