Duties
Greet visitors and clients warmly, ensuring a professional and friendly first impression
Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently
Handle incoming and outgoing correspondence, including emails and mail.
Maintain organized filing systems for documents, records, and reports, including digital and physical files
Assist with appointment scheduling, calendar management, and coordinating meetings or events
Provide general administrative support such as proofreading documents, managing office supplies, and performing clerical tasks
Requirements
Proven clerical or administrative experience in an office setting; experience in medical or dental offices is a plus
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent organizational skills with attention to detail and accuracy in data entry and proofreading
Exceptional customer service skills with the ability to handle phone inquiries professionally using multi-line phone systems
Ability to manage multiple tasks efficiently in a fast-paced environment while maintaining professionalism
Experience with front desk operations, filing systems, and office equipment such as fax machines or printers
Knowledge of medical or dental office procedures is advantageous but not required; training will be provided as needed
Fluent in English, Punjabi, and Hindi
Strong verbal and written communication skills
Professional, organized, and detail-oriented
Comfortable communicating with clients and handling confidential information
Reliable and able to manage multiple tasks and deadlines
Mortgage, lending, banking, or financial services experience is an asset
Must be legally authorized to work in Canada, Work permit holders or PR / CITIZEN
