Nice Building Corp is a Seattle-based residential general contractor specializing in high-end home remodels, custom new construction, and spec homes. We are growing our team and are looking for an organized, detail-oriented Construction Business Administrator to help manage the administrative, financial, and operational side of our projects.
This is an important role within our company. The ideal candidate understands how a residential construction company operates and can confidently manage administrative tasks, project documentation, accounting, billing, and communication while keeping projects and the office running efficiently.
What You'll Do
Accounting & QuickBooks:
-Manage day-to-day accounting and administrative tasks in QuickBooks Online
-Enter and code bills, expenses, vendor invoices, and payments accurately
-Assist with accounts payable and accounts receivable
-Prepare and send client invoices and track outstanding balances
-Apply client payments and deposits/retainers correctly
-Assist with project-level job costing and financial reporting
-Reconcile bank and credit card transactions
-Maintain accurate customer, vendor, and project records
-Work closely with the owner and bookkeeper to ensure financial information is accurate and up to date
Construction Administration:
-Maintain project files, contracts, estimates, change orders, invoices, and other documentation
-Track subcontractor and vendor paperwork
-Collect and maintain Certificates of Insurance (COIs), W-9s, and other required documents
-Assist with subcontractor onboarding and compliance
-Help track project costs against budgets and estimates
-Assist with change orders, purchase orders, and project billing
-Keep project information organized and up to date
Contractor Foreman & Project Management:
-Manage and maintain project information within Contractor Foreman
-Assist with estimates, proposals, schedules, budgets, invoices, and project documentation
-Help ensure project information is entered accurately and consistently
-Improve and maintain administrative workflows between the office, project managers, field staff, vendors, and clients
Office & Operations:
-Respond to client, subcontractor, and vendor emails and phone calls
-Maintain organized digital and physical records
-Schedule meetings, inspections, deliveries, and other administrative items as needed
-Assist with purchasing, vendor coordination, and material tracking
-Help create and improve company procedures and administrative systems
-Support the owner and project management team with day-to-day operational needs
What We're Looking For
Required:
-2+ years of administrative experience, preferably within residential construction, general contracting, remodeling, or a related industry
-Strong working knowledge of QuickBooks Online
-Excellent organizational and time-management skills
-Strong attention to detail and accuracy
-Comfortable working with numbers, invoices, budgets, and financial information
-Excellent written and verbal communication skills
-Proficient with Microsoft Office / Google Workspace
-Ability to manage multiple projects and priorities simultaneously
-Professional, dependable, and able to work independently
Highly Preferred:
-Experience with Contractor Foreman
-Experience with residential general contracting
-Understanding of construction estimating, job costing, change orders, and progress billing
-Experience working with subcontractors and vendors
-Experience collecting and managing COIs, W-9s, invoices, and subcontractor documentation
-Familiarity with construction contracts and project documentation
-Experience working directly with an owner, project manager, or construction team
The Ideal Candidate:
We're looking for someone who is proactive rather than reactive. You should be the type of person who sees something that needs to be done and takes care of it without needing to be asked.
The right candidate will be comfortable moving between QuickBooks, project management software, email, spreadsheets, and construction documents throughout the day. You should enjoy creating organization, catching mistakes before they become problems, and developing systems that make a business run more efficiently.
Construction experience is extremely valuable. We are not looking for someone who simply knows general office administration—we want someone who understands the unique administrative and financial demands of a residential general contractor.
Compensation
Starting wage: $28–$34/hour, depending on experience and qualifications.
Candidates with strong residential construction experience, advanced QuickBooks knowledge, and Contractor Foreman experience may be considered at the higher end of the range.
