The Shipping Coordinator is responsible for overseeing daily clerical and physical shipping operations. This role requires meticulous attention to detail to ensure accurate preparation, verification, and processing of shipping documents and product shipments. The position involves coordinating and scheduling shipments, managing inventory updates, and ensuring compliance with USDA/APHIS and OSHA regulations. Additional responsibilities include handling international export documentation, obtaining health certificates for international shipments, and maintaining communication with FedEx and other freight forwarders. The Shipping coordinator also supports the CSR department by obtaining shipping quotes and addressing logistics inquiries.
ESSENTIAL DUTIES, FUNCTIONS, AND RESPONSIBILITIES
•Oversee the shipment of domestic and international orders.
•Ensuring accuracy in documentation, packaging, and logistics coordination.
•Maintain detailed records of all shipments, including international export documentation, health certificates, and customs paperwork.
•Schedule large shipments and liaise with freight forwarders, ensuring a timely pick up.
•Respond to logistics-related inquiries and provide shipment information to customers and internal departments.
•Address and resolve issues related to shipping errors, lost or damaged shipments, FedEx claims, and international clearance delays.
•Obtain shipping quotes, handle customer complaints, and maintain ongoing communication with freight forwarders.
•End-of-Year Inventory Counts: Organize and execute annual inventory reconciliation.
•Conduct weekly cycle counts, maintain accurate stockroom records, and ensure proper cataloging and organization of inventory items.
•Exhibit exemplary attendance and punctuality.
•Perform other duties as assigned.

EDUCATION & RELATED EXPERIENCE
•A high school diploma or equivalent GED is required.
•A minimum of three years of experience in a shipping and receiving role is required.
•A forklift certification is preferred.
•A valid driver's license, reliable transportation, and the ability to be covered under the Company's automobile insurance.
KNOWLEDGE, SKILLS, AND ABILITIES
•Knowledge and understanding of safety procedures and industry regulations and guidelines required by the Occupational Safety and Health Administration (OSHA), United States Department of Agriculture (USDA), and Food Safety and Inspection Service (FSIS).
•Knowledge of production processes, quality control, and costs related to the distribution of products.
•Strong attention to detail and organizational skills.
•Experience with shipping, logistics, warehouse, or supply chain operations.
•Knowledge of domestic and international shipping procedures and documentation.
•Familiarity with USDA/APHIS, OSHA, and export compliance requirements.
•Proficiency with ERP systems, shipping software, and Microsoft Office applications.
•Excellent communication and customer service skills.
•Ability to manage multiple priorities in a fast-paced environment.
•Strong problem-solving and analytical abilities.
•Experience working with FedEx, UPS, freight forwarders, and common carriers preferred.
•Ability to maintain accurate records and documentation.
•The ability to operate a forklift and/or pallet jack to transport packages from one area to another.
•The ability to work in extreme temperatures, including sub-zero conditions for extended periods and exposure to outdoor weather elements.
•Proficiency in Microsoft Outlook, Excel, and Word.
SUPERVISORY RESPONSIBILITIES AND INTERACTIONS WITH OTHERS
The Shipping/Receiving Lead has no supervisory responsibilities. However, the role will be expected to frequently interact with coworkers, management, and delivery drivers. Additionally, the role must act as the department lead in the absence of the Shipping/Purchasing Manager and provide guidance and direction to shipping/receiving team members as needed.
WORKING CONDITIONS
Duties are typically performed in indoor and outside environments. The indoor environment is usually a well-lit, environmentally controlled area with a low to medium level of noise. The outdoor environment may require the employee to be exposed to extreme wet and dry weather conditions, including temperatures above 100 degrees Fahrenheit and below 32 degrees Fahrenheit. The position may be exposed to danger, noise, vibration, dirt, grease/oil, dust/shavings, chemicals, electricity, sharp objects, flying objects/particles, moving equipment, and fire/steam/hot surfaces. This position is full-time and work hours may vary depending on operational activities and required duties.
