Cinderlands Beer Co. is hiring an organized, personable Associate Event Coordinator to support our growing private events business across our three Pittsburgh locations: Cinderlands Warehouse in the Strip District, Long Story Short in Lawrenceville, and Cinderlands Wexford.
This role sits at the center of the private events team. You'll often be the first person a prospective client talks to: responding to inquiries, qualifying leads, booking tours, and keeping the events calendar accurate across all three locations. From there, you'll prepare event details for the Event Coordinator's proposals and contracts, produce the event documents our kitchen and floor teams work from, and help execute events on the day. The role also supports business development and the marketing that fills the calendar.
THE DETAILS
- Full-time, hourly, non-exempt
- $25.00 per hour, eligible for overtime
- 35-40 hours per week, including evenings and weekends for tours and events
- Reports to the Event Coordinator
- Based at Cinderlands Warehouse, 2601 Smallman St, Pittsburgh, PA 15222, with some work at Long Story Short and occasional work at Cinderlands Wexford
WHAT YOU'LL DO
- Manage inquiries and scheduling: respond promptly to private event inquiries, qualify leads, follow up so no inquiry goes quiet, schedule client meetings and site tours, conduct tours as assigned, and keep an accurate events calendar across all three locations
- Prepare event details for the Event Coordinator's proposals, pricing, and contracts, and prepare event documents, including event orders, menus, and buffet labels
- Support business development: research prospective clients (local businesses, nonprofits, associations, and community organizations), schedule sales calls, assist with in-person prospecting, help with wedding expos, networking events, and quarterly open houses, and support repeat-business initiatives
- Support marketing: the private events marketing calendar and campaigns, and collecting photos, testimonials, and other content
- Help deliver events: setup, execution, and post-event follow-up, acting as liaison between clients, vendors, and our operations staff
- Attend the weekly managers meeting
WHO WE'RE LOOKING FOR
- At least one year of experience in the service or hospitality industry
- Exceptional written and verbal communication skills, including prompt, professional email
- Strong organization and the ability to prioritize multiple projects while meeting deadlines
- A genuine sense of urgency, and the judgment to know what needs attention now
- The initiative to anticipate client and team needs, working well both independently and as part of a team
- Comfortable with email, calendars, and spreadsheets, and able to learn our events and point-of-sale systems, including Toast
- Availability to work evenings and weekends for tours and events
- A valid driver's license and reliable transportation for prospecting visits, expos, and travel between locations
- Must be 21 or older
Helpful but not required: sales, event planning, catering, or banquet experience; marketing, social media, or content creation; Toast or another event-management or CRM system; brewery, restaurant, or event venue experience. A degree is not required.
PAY AND BENEFITS
- $25.00 per hour, full-time, with overtime past 40 hours a week

SCHEDULE AND PHYSICAL REQUIREMENTS
The schedule follows the events calendar: weekday hours for inquiries, planning, and prospecting, plus evenings and weekends for tours and events. Event days can run long, and flexibility matters when plans change quickly. The role involves extended standing and walking during events, moving between floors and between locations, and helping set up and break down events.
