Brightstar Group is seeking an organized, proactive, and dependable Property Manager / Administrative Coordinator to join our growing real estate team.
This position will be responsible for the day-to-day management of approximately 50 apartment units in the Biltmore area, as well as several office properties, while also providing administrative, bookkeeping, and project support for our real estate development and residential general contracting businesses.
This is a hands-on and varied position well suited for someone who enjoys working in real estate, interacting with tenants and vendors, staying organized, and helping keep multiple properties and projects running smoothly.
Property Management Responsibilities
Serve as a primary point of contact for residential and commercial tenants and respond professionally and promptly to questions, maintenance requests, and other property-related matters.
Coordinate maintenance requests, repairs, contractors, and vendors and follow up to ensure work is completed properly and in a timely manner.
Assist with leasing activities, including responding to prospective tenant inquiries, coordinating property showings, preparing lease documentation, and tracking lease renewals.
Coordinate apartment move-ins, move-outs, inspections, and unit turnovers.
Monitor rent payments and assist with tenant account follow-up as needed.
Maintain organized and accurate tenant, lease, vendor, and property records.
Conduct periodic property visits and assist with identifying maintenance or operational issues.
Help ensure our apartment and office properties are well maintained and professionally managed.
General Contracting & Development Support
Brightstar Group also develops and builds high-end residential spec homes. This position will assist our team with the administrative and accounting side of these projects, including:
Preparing, organizing, and tracking subcontractor agreements, purchase orders, change orders, and related construction documentation.
Coordinating with subcontractors and vendors to collect contracts, proposals, invoices, insurance certificates, W-9s, and other required documentation.
Assisting with bookkeeping for our residential general contracting business, including entering and organizing invoices, tracking project expenses, and maintaining accurate job-cost records.
Assisting with accounts payable and coordinating subcontractor and vendor payments.
Organizing invoices and expenses by property and construction project.
Helping reconcile project costs against budgets and contractor proposals.
Maintaining organized electronic and physical project files.
Assisting with bid collection, contractor communication, scheduling, and tracking outstanding project items.
Providing general administrative support for our real estate development and construction teams.
Ideal Qualifications
Experience in property management, real estate, bookkeeping, construction administration, office management, or a related field is preferred.
Prior experience working with contractors, subcontractors, invoices, or construction accounting is a plus.
Strong organizational skills and excellent attention to detail.
Ability to manage multiple responsibilities and follow through on tasks without constant supervision.
Professional and personable communication skills when interacting with tenants, contractors, vendors, and team members.
Comfortable working with spreadsheets, email, accounting/bookkeeping software, and other standard business applications.
Experience with QuickBooks, AppFolio or similar bookkeeping software is a plus.
Ability to maintain accurate records and handle confidential financial and tenant information appropriately.
Practical, solutions-oriented mindset with a willingness to help wherever needed.
Ability to visit Brightstar Group properties throughout the Biltmore/Phoenix area as needed.
Schedule
This is a part-time, in-person position, Monday through Friday:
10:00 AM–3:00 PM
Approximately 25 hours per week
Compensation
Starting compensation is $20–$28 per hour, depending on the candidate's experience and qualifications.
There is an opportunity for the position and responsibilities to grow over time for the right candidate.
