We are seeking a proactive and organized Part Time Construction Office Coordinator to join our team! In this dynamic role, you will serve as the backbone of our back office.
You’ll play a vital role in creating and maintaining project documentation, doing A/P and A/R, managing client and vendor communications, and supporting daily office functions—all while working part-time hours that fit your schedule. Picasso Construction specializes in high end home renovation and design across the Phoenix Metropolitan area.
The Opportunity
This is a remote part time opportunity. There will be flexibilty to work 20-30 hours per week based on our work load and your schedule. Ideally, the schedule will be 4-6 hours Monday - Friday.
Responsibilities:
AP & AR
Create invoices, record payments, and track project expenses in BuilderTrend
Support scheduling, product ordering, and follow-up with vendors and customers
Extensive Quickbooks (tagging projects, etc)
Vendor set up
Managing and inputting daily jobs
Help lead our transition from JobThread to BuilderTrend, ensuring every active project transfers accurately. You will become our in-house BuilderTrend expert — you don't need to be one on day one (extra points of you are), but you'll need to get there fast and help us customize it to run efficiently
Work in BuilderTrend daily as its primary owner
Be the heartbeat of the back office (remotely)— help build the systems and procedures that keep projects moving smoothly
Communicate directly with customers and vendors on invoices, payments, and follow-ups as needed (10% of job)
Bring ideas — we want your input on how to build this office, not just execution
Requirements:
Familiarity with BuilderTrend - you don't need to be an expert yet, but you should be comfortable enough to help guide our migration and grow into the expert role
Very knowledgeable of Quickbooks online
2–4 years in an office/admin role at a construction, home renovation, or restoration company (or strong transferable back-office experience)
A resourceful, figure-it-out mindset — you research the answer before asking
Sharp attention to detail, a systems-first way of thinking, and strong communications skills
Comfortable working independently in a remote, fast-moving small business
Genuine excitement about growing into an Operations Manager role as we scale

Pay: $22.00 - $27.00 per hour
