About the Opportunity:
We are seeking a highly organized and motivated Estimating & Project Coordinator to support
the Pre-Construction and Estimating Department and assist in service department. This is an
in-office, fast-paced, multifaceted role for someone who thrives in a collaborative
environment and can balance multiple priorities.
Key Responsibilities:
- Support the Estimating and Pre-Construction team on active and upcoming bids
- Assist with pre-bid preparation, cost estimates, and proposal development
- Create and maintain bid sheets, bid lists, submittals, and vendor/subcontractor
documentation
- The ability to safely operate a forklift and to perform loading and unloading of materials as
part of regular job duties. Compliance with all safety procedures and company policies is
required.
- Track deadlines, bid schedules, and required submissions
- Maintain organized digital and physical project files
-Obtaining a Notary Public authorized by the State of Texas
- Coordinate communication between estimating, project management, and leadership
teams
- Support workflow and process improvement initiatives to increase accuracy and efficiency
- Answer and direct incoming calls, providing administrative and customer support
- Generate and track Purchase Orders (POs) for vendors and subcontractors
- Assist with scheduling crews, service calls, and project timelines
- Collect and enter employee timesheets for accurate payroll processing
- Support project setup and documentation for Texas facilities projects
- Pull and process construction permits with local municipalities
- Assist with compliance and documentation related to Texas Department of Transportation
(TxDOT) projects
- Maintain organized project files and ensure documentation accuracy
- Coordinate with field teams, project managers, and vendors to ensure smooth operations
- Track job progress and supporting close-out documentation
-Providing Conditional, unconditional waivers and lien for projects.
Preferred Qualifications:
- Previous experience supporting an estimating or pre-construction team
- Experience in HVAC Mechanical estimating is highly preferred
- Experience in plumbing, electrical, or similar trades estimating will be strongly considered -
Strong understanding of construction documents and bid processes
- Exceptional organizational skills and follow-through
- High work ethic, self-driven, motivated team player
Technology & Tools:
- Proficiency with construction technology, estimating software, and digital documentation
tools - Interest or experience using AI tools or automation to improve department efficiency is
highly desirable
- Strong skills in Microsoft Office / Excel, email, and digital file management
