Human Resources Coordinator and Office Assistant

We are looking for an experienced, organized, and approachable Human Resources professional to assist our day-to-day HR functions and help us continue building a strong workplace as our company grows.
Position Overview
The Human Resources Coordinator/ HR Generalist/ HR Assistant will work closely with company owner, management, payroll/accounting, and field employees. This is a hands-on position for someone who is comfortable handling everything from recruiting and onboarding to employee relations, documentation, collections, benefits administration, and HR compliance.
This is not a purely administrative desk position. We are looking for someone who can communicate effectively with field employees and management, handle difficult conversations professionally, maintain confidentiality, and help management apply company policies consistently.
Responsibilities
Manage recruiting, job postings and onboarding.
Maintain employee personnel files and required employment documentation.
Coordinate new-hire paperwork, background checks, employment verification, and other onboarding requirements.
Assist management with employee relations, coaching, disciplinary actions, written warnings, performance issues, and terminations.
Assist with daily calls and scheduling
Help ensure company policies and disciplinary procedures are applied consistently.
Maintain and update the employee handbook, policies, job descriptions, forms, and HR procedures.
Assist with payroll-related employee changes, deductions, compensation changes, PTO, and employee information.
Administer and coordinate employee benefits and assist employees with benefit-related questions.
Coordinate workers’ compensation claims and return-to-work documentation.
Assist with unemployment/reemployment claims, employment verifications, and government or agency requests.
Monitor compliance with applicable federal and Florida employment laws and regulations.
Maintain records relating to training, licenses, certifications, and required employee documentation.
Help management improve employee retention, communication, accountability, and workplace culture.
Serve as a professional and confidential point of contact for employee HR questions and concerns.
Qualifications
Previous Human Resources experience required.
Strong knowledge of employee relations, hiring, onboarding, disciplinary documentation, and HR administration.
Working knowledge of federal and Florida employment laws.
Experience working with payroll and HRIS systems; Paychex Flex experience is a plus.
Experience with workers’ compensation and unemployment claims preferred.
Strong written and verbal communication skills.
Excellent organizational skills and attention to detail.
Ability to handle confidential and sensitive information appropriately.
Comfortable working directly with both management and field employees.
Ability to handle difficult conversations calmly, professionally, and fairly.
Experience in construction, landscaping, tree service, trades, transportation, or another field-service environment is a plus.
Bilingual is also a plus*
Preferred Qualifications
SHRM-CP, PHR, or similar HR certification.
3+ years of hands-on Human Resources experience.
Experience supporting a small to midsize privately owned business.
Experience with Paychex Flex or similar payroll/HR platforms.
