Church Office Manager
We are seeking an organized, welcoming, and detail-oriented Church Office Manager to serve as the administrative hub for our congregation, pastoral staff, preschool, and church museum. This position manages daily office operations, communications, records, scheduling, and provides administrative and financial support.
Key Responsibilities
Manage front-office operations, phones, email, voicemail, visitors, and general inquiries.
Prepare weekly worship bulletins, special-service programs, newsletters, and official correspondence.
Coordinate the church calendar, facility scheduling, supplies, maintenance access, and general office needs.
Serve as the primary contact for museum inquiries, tour scheduling, volunteers, and public/research requests.
Maintain accurate and confidential membership, attendance, preschool, and other church records.
Assist with Session and Deacon meeting agendas, reports, and meeting packets.
Provide administrative support to the preschool, including enrollment records, tuition tracking, and parent communications.
Support bookkeeping and financial administration, including accounts payable/receivable, deposits, bank reconciliation, and financial reports.
Maintain financial records using Shepherd’s Staff; experience with double-entry accounting and fund accounting is preferred.
Qualifications
High school diploma required; college degree in business, accounting, communications, or a related field preferred.
At least 2 years of administrative, secretarial, or office management experience.
Strong organizational, communication, and customer-service skills.
Proficiency with Microsoft Office, Google Workspace, and tools such as Canva, Mailchimp, or similar platforms.
Bookkeeping or accounting experience preferred.
Experience in a church setting is a plus.
Familiarity with Christian worship, church seasons, literature, and sacraments is highly desirable.
Ability to handle confidential pastoral, financial, membership, and student information with discretion.
