We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
Manage multi-line phone systems, answer inquiries professionally, and direct calls appropriately using excellent phone etiquette.
Provide front desk support by greeting visitors, handling inquiries, and maintaining a welcoming environment.
Perform data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and Word processing tools.
Organize and maintain filing systems—both electronic and physical—to ensure quick retrieval of documents.
Assist with calendar management, scheduling appointments, meetings, and coordinating events to optimize time management.
Support office management activities including supply inventory, equipment maintenance, and general administrative support.
Communicate effectively with clients and team members via phone or email to facilitate smooth operations.
Handle clerical duties such as copying, scanning, and preparing reports or presentations as required.
Support personal assistant responsibilities for senior staff including travel arrangements or special project coordination.
Experience
Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
Prior experience with data entry, filing systems, and managing multiple priorities efficiently.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with technical literacy in productivity software.
Experience working with multi-line phone systems and providing excellent customer service in a front desk setting.
Bilingual abilities are highly desirable to assist diverse client needs effectively.
Ability to learn basicd financial principles and tasks.
Strong organizational skills coupled with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
Personal assistant experience or calendar management skills that showcase reliability and attention to detail.
Obtain a Life License and would be open to getting a Series SIE, 6 & 63 license.
Must get finger printed and registered with our home office. (Dealing with client personal information).
