We are a small, established paper and recycling company based in Miami. We’re looking for a reliable, organized and proactive Operations Assistant to support our daily office and warehouse operations.
This is a hands-on small business environment where everyone helps keep things running smoothly.
This position has a clear growth path. We are looking for someone who can start by learning and supporting our day-to-day processes, gradually take ownership of them, and grow into a Manager role responsible for running the daily administrative and operational side of the business.
As responsibilities and ownership increase, there will be opportunities for increased compensation and promotion.
Responsibilities
Answer phones, manage messages and communicate with customers and vendors
Track inventory and help maintain accurate inventory records
Prepare and organize BOLs, packing lists, invoices and order paperwork
Maintain organized Google Sheets for inventory, pricing and operational tracking
Organize receipts, vendor information, files and company records
Maintain recycling purchasing records and related documentation
Collect employee timecards and prepare payroll information
Track client inventory, pickups and service schedules
Confirm inventory availability and provide pricing using internal systems
Assist with quotes and customer orders
Organize petty cash and supporting documentation
Coordinate with warehouse staff and drivers throughout the day
Step into the warehouse when needed to verify inventory or assist with intake/outtake
Help coordinate solutions when machinery or operational issues arise
Order warehouse and office supplies
Maintain company calendars, task lists and follow-ups
Help keep the office and overall operation organized
As you grow in the position, the goal is for you to increasingly own these processes, create your own priorities and projects, solve day-to-day problems independently, improve company systems and safety procedures, and eventually help lead weekly operations meetings.
What We’re Looking For
Bilingual in English and Spanish
Strong with Google Sheets or Excel
Comfortable communicating by phone with customers and vendors
Organized and detail-oriented
Reliable with strong attendance and punctuality
Proactive and able to follow through without constant reminders
Comfortable working in an industrial/warehouse environment
Able to balance multiple priorities
Comfortable solving problems and taking initiative
Available full-time and in person
Interested in growing into a position with greater responsibility and leadership

The long-term goal is for the right person to progress from Operations Assistant to Manager, taking increasing ownership of the day-to-day office and operations as they grow with the company.
