Vezina Industries, Inc. is seeking an organized, dependable, and customer-focused Service Coordinator for our Madera, California office. This position will coordinate and oversee the daily schedules of our service technicians working throughout the Sacramento area.
The Service Coordinator will be responsible for scheduling service appointments, dispatching technicians, entering and maintaining service records, communicating with customers, and processing window and door warranty claims. The ideal candidate is comfortable managing multiple priorities and communicating with customers, technicians, builders, manufacturers, and internal departments.
Responsibilities
-Coordinate and oversee the daily schedules of service technicians working in the Sacramento area
-Schedule and confirm service appointments with homeowners, builders, and job-site representatives
-Dispatch technicians and provide them with service locations, customer information, work orders, and job details
-Monitor technician schedules and make adjustments based on cancellations, emergencies, travel time, and job requirements
-Communicate regularly with technicians regarding job status, materials needed, incomplete work, and follow-up appointments
-Answer customer calls and emails professionally and provide updates regarding service appointments
-Assist customers with questions, concerns, scheduling issues, and warranty-related matters
-Enter service requests, work orders, customer information, notes, and appointment details into company systems
-Review technician notes and photographs to determine whether additional work, parts, or appointments are needed
-Process and track manufacturer warranty claims for windows, doors, glass, hardware, and related materials
-Communicate with manufacturers regarding warranty coverage, replacement parts, claim status, and estimated delivery dates
-Order and track service parts and materials
-Schedule return visits after warranty parts and materials are received
-Maintain accurate and organized electronic and paper service records
-Follow up with customers after service appointments and confirm that work has been completed
-Coordinate with project managers, builders, office staff, and other departments to resolve service issues
-Prepare service reports and provide updates regarding open, pending, and completed service requests
-Perform additional administrative and customer service duties as assigned
Qualifications
-Previous experience in dispatching, scheduling, customer service, data entry, warranty processing, construction administration, or a related position is preferred
-Experience in the window, door, construction, building materials, or home-service industry is a plus
-Strong data-entry and computer skills
-Ability to learn and use scheduling, service-management, and manufacturer warranty systems
-Strong written and verbal communication skills
-Professional and courteous telephone and email manner
-Excellent organization, follow-up, and time-management skills
-Ability to manage multiple technicians, appointments, customers, and open service requests at the same time
-Strong attention to detail and ability to maintain accurate records
-Ability to handle customer concerns calmly and professionally
-Ability to work independently while collaborating with technicians and other departments
-Dependable attendance and punctuality
-Bilingual English and Spanish is a plus, but not required
-Must be authorized to work in the United States
