Position Summary
Vezina Industries, Inc. is a growing window, door, and building products company seeking a dependable, organized, and detail-oriented **Order Desk Coordinator** to support our New Construction Windows & Doors division.
This position plays an important role in moving projects from the ordering stage through installation. The Order Desk Coordinator is responsible for entering and submitting window and door orders through various manufacturer ordering portals, monitoring orders throughout the manufacturing and delivery process, maintaining accurate records, and communicating when products are ready so our scheduling and operations teams can coordinate installation.
This is primarily a computer- and desk-based position that involves prolonged sitting, data entry, order tracking, and repetitive tasks. Success in this position requires someone who enjoys organization, accuracy, routine, and following a process from beginning to end.

Essential Duties & Responsibilities
* Review window and door order information for completeness and accuracy before submitting orders.
* Enter and submit window and door orders through various manufacturer websites and ordering portals.
* Verify product specifications, quantities, sizes, options, and other order details before final submission.
* Maintain organized and accurate electronic records for customer, project, and product orders.
* Track orders from the time they are submitted through manufacturing, shipping, delivery, and readiness for installation.
* Monitor manufacturer portals, order confirmations, estimated completion dates, shipping information, and other order updates.
* Follow up with manufacturers and vendors when orders are delayed, incomplete, damaged, changed, or require additional information.
* Update internal tracking systems with current order status and expected delivery or availability dates.
* Communicate with the Scheduling Department when windows and doors are received or confirmed ready so installations can be scheduled appropriately.
* Communicate important delays, backorders, product issues, or changes to management and other affected departments.
* Review order acknowledgments and confirmations to identify discrepancies before products are manufactured.
* Coordinate with project managers, operations, scheduling, purchasing, warehouse personnel, and other departments as necessary.
* Respond to emails and internal requests in a timely and professional manner.
* Maintain clear notes and documentation so order history and current status can easily be understood by other team members.
* Assist in resolving order discrepancies, missing products, incorrect shipments, damaged materials, and related issues.
* Prioritize workload based on project schedules and installation needs.
* Perform other administrative and operational duties as assigned.

* Ability to identify discrepancies and follow through until an issue is resolved.

* A willingness to ask questions, learn new systems, and continuously improve.
* A proactive mindset and ability to follow up without needing constant direction.
Experience in **construction, windows and doors, purchasing, order processing, data entry, manufacturing, scheduling, or administrative coordination** is helpful but not necessarily required for the right candidate.
Work Environment & Physical Requirements
This position is primarily performed in an office/desk environment and requires:
* Prolonged periods of sitting at a desk and working on a computer.
* Frequent computer use, typing, data entry, email communication, and use of manufacturer portals.
* Repetitive tasks requiring sustained attention and accuracy.
* Regular use of a telephone, computer, keyboard, mouse, and other standard office equipment.
* Ability to communicate effectively with employees and outside vendors.
* Occasional walking, standing, bending, reaching, or assisting with normal office or operational activities.

A successful Order Desk Coordinator is someone who can take ownership of an order and follow it all the way through the process. You should be comfortable checking on outstanding items, following up when something does not look right, keeping detailed records, and making sure the appropriate team members know when products are ready for the next stage.
