**Location:** Lāwaʻi, Kauaʻi – In Person
**Schedule:** 3 days per week | Primarily school-day hours
**Position:** Part-Time
I am the **CEO of an established trade services company** and am looking for a highly organized, proactive **Executive & Personal Assistant** to work directly with me from my home office approximately three days per week.
I oversee a busy company with multiple departments, employees, projects, meetings, and day-to-day decisions. I also tend to have a lot of things happening at once, so I am looking for someone who can help bring structure to my day, keep me focused on priorities, and make sure important things don't fall through the cracks.
**This is not a traditional desk assistant position.** I need someone who can work alongside me, look at everything on my plate, help determine what needs my attention, and turn it into an organized and manageable plan.
### What You'll Help Me With
- Organize my day and help prioritize what needs my attention
- Create and maintain daily and weekly task lists
- Keep me focused on priorities and redirect me when I get sidetracked
- Keep track of things I say I need to do so they don't get forgotten
- Follow up with me on unfinished items
- Help manage my calendar and schedule
- Organize emails and identify items requiring my attention
- Take notes during calls or meetings and turn them into actionable tasks
- Follow up with managers and employees on outstanding company items
- Prepare documents, spreadsheets, reports, and meeting materials
- Organize Google Drive and company files
- Help document company procedures and processes
- Research information, vendors, products, or services when needed
- Assist with ServiceTitan and other company software
- Track projects and deadlines across the company
- Help coordinate information and follow-ups between departments
- Track items that require my review, approval, or decision
- Handle miscellaneous administrative tasks and occasional personal errands or projects
### The Person I'm Looking For
The right person for this position is someone who **loves organization and naturally keeps things moving.**
You are probably the person who makes the list, remembers the appointment, organizes the family calendar, and notices when something hasn't been finished.
You should be comfortable saying things like, **"We need to finish this before we move on to that,"** and helping keep me accountable to the priorities we've already established.
I'm looking for someone who is:
- Extremely organized
- Dependable and punctual
- Proactive rather than waiting to be told every next step
- Comfortable giving reminders and keeping someone accountable
- Good at turning a messy list of ideas into an organized plan
- Detail-oriented and strong at following through
- Comfortable with computers and technology
- Able to learn new programs quickly
- Professional and trustworthy with confidential business and personal information
- Comfortable communicating with employees and managers
- Able to work directly with a CEO and understand that priorities can change throughout the day
- Positive, practical, and easy to work alongside
Experience with **Google Workspace, spreadsheets, ServiceTitan, QuickBooks, Zapier, or similar business software** is helpful but not required.
Experience in the trades or service industry is also a plus, but not required.
### Schedule
This position will be approximately **three weekdays per week**, primarily during daytime/school hours.
This could be a great fit for someone looking for meaningful part-time work that fits within a school-day schedule.
The position is **in person at my home office in Lāwaʻi, Kauaʻi.**
### What Success Looks Like
At the end of the day, I want to be able to say:
**"I knew exactly what I needed to accomplish today, I stayed focused, and things actually got finished."**
You'll help create the structure that makes that happen while also taking administrative work off my plate as you learn the business.
Over time, I would like this person to learn how I work, understand the company, anticipate what needs to happen next, and become someone I can confidently hand things to and know they'll be handled.
### To Apply
Please send your resume along with a short introduction telling me:
- Your availability during the week
