The Advocacy& Administration Manager supports the leadership team (the Executive Director and the Development & Community Relations Manager - DCRM) and other staff members as needed. Regarding Advocacy, the AAM is an essential presence in the dining hall, coordinating human service organization tabling efforts, leading daily announcements as needed, and addressing guests’ unmet basic needs. The AAM will also develop and implement an Advocacy Program including co-training and supervising Volunteer Advocates who can provide individual guest support. Conducting outreach to BIPOC communities, developing collaborations with social service agencies, and being an active member on relevant community committees are key activities to success in this role. On the Administrative side, the AAM will be responsible for managing the office: supporting all aspects of the organization, including activities related to donor contributions, accounts payable, annual reporting, fundraising, events, outreach efforts, and volunteers.
RESPONSIBILITIES:
In-Person Advocacy (25%)
Attend most meals served at Loaves & Fishes of Tompkins County
Provide guests with active listening, compassionate and practical support, and appropriate community service referrals as needed
Follow up on advocacy referrals made on behalf of guests to ensure follow-through and track success
During mealtimes, build relationships with guests and, when appropriate, identify guests who have unmet basic needs
Follow and enforce the community agreement with guests and volunteers
Distribute information on community resources such as healthcare, job opportunities, nutrition programs, etc
Advocacy Program (20%)
Develop and implement an Advocacy Program that leverages community organizations and volunteers.
Recruit, train, support, and supervise Advocacy Volunteers.
Identify relevant partner organizations and schedule them for tabling opportunities during meal time.
Source funding opportunities and engage in application processes by tracking statistics, providing Advocacy-related narratives, and developing outcome reports.
Community Collaboration (20%)
Maintain and develop effective working relationships with other agencies to meet guests' basic needs.
Coordinate social service outreach through tabling during mealtimes.
Represent Loaves & Fishes' Advocacy Program by attending related community meetings and participating on committees of other agencies relevant to our guests' needs, community services, and initiatives.
Support agency outreach activities including special meals & events celebrating various cultures to cultivate a warm and welcoming community for all.
Financial Oversight & Tracking (15%)
Maintain donor CRM through weekly donation tracking, donor acknowledgment, and touchpoint management.
Track the amount and value of monthly and yearly in-kind food and supply donations.
Prepare information needed for monthly financial reports and annual fund appeals under the direction of the DCRM and Executive Director.
Assist DCRM in maintaining donor database and related records.
Office Administration (15%)
Organize and file organizational documents, maintain agency records, forms, and policies, and collaborate with team members on relevant document updates; prepare team meeting minutes.
Maintain office supplies and equipment inventories.
Communicate general information about agency services, volunteering, events, donations, and events in response to community inquiries.
Complete errands to places such as post office, office supply stores, food donation sites, and the bank.
Support the planning and implementation of special events and fundraisers as directed by the DCRM and the Executive Director.
Other (5%)
Complete one volunteer shift per month to engage with guests and team in meaningful ways.
Assist with volunteer management in the absence of the Volunteer Coordinator.
Work outside of regularly scheduled hours on occasion for events or mandatory trainings, including annual sexual harassment prevention training.
DESIRED QUALIFICATIONS:
Belief in food as human right
Minimum of 2 years' experience in both administrative and social service work
Excellent verbal, organizational, and writing skills
Ability to prioritize tasks and attend to details with accuracy
Willingness to take direction and feedback
Strong team player and desire to work cooperatively with staff, volunteers, and guests
Ability to maintain confidentiality and professionalism in the workplace
Proficient in computer skills, especially with Microsoft Suite, e-newsletters, and website management
Ability to troubleshoot basic computer, printer, telephone and office equipment issues
Experience with online donor management platforms
Commitment to cultivating a welcoming organizational culture which includes upholding anti-racism policies and procedures, and supporting members of the BIPOC and LGBTQ+ communities
