Client Service Associate (Financial Services)
Position Overview
We are looking for a friendly, organized, and detail-oriented Client Service Associate to join our financial advisory practice. This position supports our Financial Advisor by providing excellent client service, assisting with account paperwork, and helping keep the office running smoothly.
This is an excellent opportunity for someone interested in building a career in financial services. Training will be provided.
Responsibilities
Welcome clients and provide professional customer service
Answer phone calls, emails, and schedule appointments
Prepare and process client paperwork for investment, retirement, and insurance accounts
Follow up with clients, custodians, and insurance companies on pending requests
Maintain accurate client records and update the CRM system
Assist with preparing materials for client meetings
Help with 401(k) plan administration and other client service projects
Perform general office and administrative duties
Use technology and AI tools to improve efficiency, organize information, draft correspondence, and streamline office workflows while maintaining client confidentiality
Assist with special projects as needed
Qualifications
Associate's or Bachelor's degree preferred
Previous office, customer service, or administrative experience preferred
Financial services, banking, or insurance experience is a plus, but not required
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Strong computer and technology skills, with the ability to quickly learn new software and online platforms
Proficiency with Microsoft Office (Word, Excel, Outlook), Adobe Acrobat, and cloud-based applications
Experience using AI tools (such as ChatGPT, Microsoft Copilot, or similar) to improve productivity, research, document preparation, and workflow is a plus
Experience with CRM or financial software is a plus
Chinese (Mandarin or Cantonese) speaking is a plus
