Full Time Bilingual Office Assistant
Location: Whitestone, NY — In Person Only
Schedule: Monday–Friday, 9:00 AM–5:00 PM
Pay: Starting at $18/hour + Commission
We are looking for a dependable, organized, and responsible Full-Time Bilingual Office & Operations Assistant to join our team in Whitestone, NY.
This is a full-time, in-person position supporting the daily operations of two businesses: a property management company and an international trading company.
We are looking for someone who wants a stable, long-term position and is interested in learning and growing with our businesses. The ideal candidate is reliable, punctual, detail-oriented, proactive, and able to follow through on responsibilities.
We especially value someone who can keep track of pending matters, follow up without being repeatedly reminded, communicate professionally, and gradually take ownership of assigned responsibilities.
Training will be provided for our specific procedures and operations.
*Responsibilities
-General Office & Administrative
-Handle daily administrative tasks for both companies
-Answer incoming phone calls and respond to emails professionally
-Communicate with customers, tenants, vendors, contractors, suppliers, and other business contacts
-Follow up on pending matters and make sure tasks are completed on time
-Organize and maintain physical and electronic files
-Prepare emails, letters, reports, invoices, and other business documents
-Schedule appointments, coordinate meetings, and manage calendars
-Assist with bookkeeping, invoicing, payments, and general recordkeeping
-Maintain office supplies and help keep the office organized and efficient
-Run occasional local business errands as needed
-Perform other administrative and operational duties as assigned
*Property Management
-Assist with day-to-day property management matters
-Communicate with tenants, vendors, contractors, and service providers
-Coordinate appointments, repairs, maintenance, and property visits
-Follow up on outstanding maintenance and property-related matters
-Maintain organized records and documentation for properties
-Visit properties locally when necessary
*International Trading & Logistics
As part of this position, you will assist with the daily operations of our international trading business. Training will be provided, but you must be comfortable learning logistics, shipping, and international trade procedures.
Responsibilities will include:
-Coordinate and follow up on ocean freight and drayage shipments
-Assist with container bookings, trucking/drayage, warehouse loading, and delivery coordination
-Communicate with freight forwarders, trucking companies, warehouses, customers, suppliers, and other logistics providers
-Track shipments and containers from warehouse pickup/loading through the final port of destination
-Follow up on booking confirmations, loading schedules, vessel schedules, and shipment status
-Prepare, organize, and review shipping and commercial documents
-Assist with invoices, packing lists, bills of lading, and other import/export documentation
-Maintain accurate records of shipments, orders, payments, and correspondence
-Follow up proactively on pending shipments and communicate delays, documentation issues, or other problems
-Assist with customer and supplier communications
-Assist with other trading, logistics, and operational responsibilities as needed
Prior logistics or international shipping experience is a plus, but not required. We are willing to train the right person who is dependable, organized, detail-oriented, and willing to learn.
*Requirements
-Fluent in English and Spanish — REQUIRED
-Valid driver's license and reliable vehicle — REQUIRED
-Available to work in person Monday–Friday, 9:00 AM–5:00 PM
-Dependable, punctual, responsible, and professional
-Strong organizational and multitasking skills
-Strong written and verbal communication skills
-Comfortable communicating professionally by phone and email
-Able to follow instructions carefully and work independently
-Strong attention to detail and follow-through
-Able to keep track of multiple pending matters and follow up when necessary
-Comfortable learning new tasks and handling different responsibilities throughout the day
-Basic proficiency with Microsoft Word, Excel, and Google Workspace
-Comfortable working with invoices, spreadsheets, documents, and electronic records
-Able to handle confidential business information professional
*Compensation & Opportunity
-Starting pay: $18/hour
-Additional commission opportunities through the trading company
