A growing local construction company is looking for an organized, dependable, and proactive Construction Project Coordinator / Office Administrator to become an integral part of our team.
This is a key position combining office administration, project coordination, client communication, and day-to-day support of our construction projects. Your role will be to help keep the office organized, projects moving forward, communication on track, and make sure important details don't fall through the cracks.
You'll also be one of the primary points of contact for our clients, subcontractors, and vendors, so professionalism, communication, and follow-through are extremely important.
We're looking for someone who takes ownership of their position. The right person doesn't need to be given a new list every day—they understand their responsibilities, recognize what needs attention, prioritize their workload, follow up on outstanding items, and make sure things get completed.
If you enjoy organization, systems, problem-solving, and keeping multiple moving pieces on track, this could be a great fit.
What You'll Be Doing
Office Administration & Organization:
*Manage day-to-day office operations and administrative tasks
*Answer phone calls and respond to emails professionally
*Maintain organized digital and physical project files
*Perform data entry and maintain accurate company records
*Assist with invoices, purchase orders, reports, and project documentation
*Maintain confidentiality of company and client information
Construction Project Coordination:
*Support management with day-to-day coordination of active and upcoming projects
*Enter and maintain jobs, budgets, proposals, documents, and project information in JobTread
*Track project timelines, deadlines, selections, and outstanding items
*Follow up with team members, subcontractors, vendors, and clients
*Assist with material orders and delivery coordination
*Coordinate subcontractors, vendors, inspections, and other project activities
*Maintain accurate and current project documentation
*Communicate project updates and important information to clients and the project team
*Identify missing information or potential issues before they become problems
*Help develop, document, and maintain office procedures and SOPs
What We're Looking For:
*Strong organizational and time-management skills
*Excellent written and verbal communication
*Strong attention to detail and follow-through
*Comfortable managing multiple projects, priorities, and deadlines
*Confident using computers, email, spreadsheets, and digital file-management systems
*Self-motivated and capable of working independently
*Professional and comfortable communicating with clients, vendors, subcontractors, and employees
*Able to recognize what needs to be done and take initiative without constant direction
*Interested in developing and maintaining systems that make the company more efficient
*Looking for a stable, long-term position
*Previous experience in construction administration, project coordination, office management, or a similar role is preferred.
*Experience with construction project-management software is a plus.
*Familiarity with JobTread is helpful, but we're willing to train the right person who is comfortable learning new software.
The Right Person:
We're looking for more than someone who can simply complete assigned tasks.
We want someone who can eventually own the administrative side of the project workflow—look at what's happening across the company, determine what needs attention, follow up on outstanding items, communicate with the appropriate people, and keep things moving.
You won't be expected to know everything on day one. We'll provide training and establish clear procedures. What we're looking for is someone who wants to learn the position, take responsibility for it, and become a dependable long-term part of the company.
What We Offer:
*Monday–Thursday schedule
*3-day weekends
*Competitive pay based on experience
*Supportive, collaborative work environment
*Training and opportunities to develop construction and project-management skills
*Opportunity to grow with an established local construction company
*A long-term position with increasing responsibility as you learn the business
How to Apply:
Please submit your resume, 1–2 professional references, and a brief introduction explaining why you believe you'd be a good fit for this position.
We're looking for someone who wants to become a valued, long-term member of our team. If you're organized, proactive, dependable, and enjoy keeping people and projects on track, we'd like to hear from you.
