Perrinville Family Dentistry is seeking a full-time dependable, detail-oriented, and patient-focused Patient Care Coordinator to join our long-term team.
This position is an important part of the patient experience and the daily success of our practice. We are looking for someone who provides exceptional customer service, communicates professionally and compassionately with patients, and is able to confidently manage the many moving parts of a busy multi-doctor, multi-hygienist dental practice.
The ideal candidate is confident communicating with the team and is organized, comfortable multitasking, and takes pride in accuracy and follow-through. Experience with Open Dental, dental insurance, treatment coordination, and scheduling is strongly preferred.
Key Responsibilities
Patient Care & Customer Service
• Provide warm, professional, and exceptional customer service to every patient.
• Greet and check patients in and out efficiently and courteously.
• Build positive, long-term relationships with patients and families.
• Answer phones, respond to patient questions, and communicate clearly both in person and electronically.
• Help create a welcoming, organized, and positive front-office environment.
• Handle patient concerns professionally and work toward appropriate solutions.
Scheduling & Practice Coordination
• Manage scheduling for multiple doctors and hygienists.
• Schedule appointments efficiently while maintaining provider productivity and patient flow.
• Coordinate new patient appointments and ensure all necessary information is collected prior to the appointment.
• Schedule treatment, follow-up appointments, hygiene visits, emergencies, and other necessary care.
• Monitor unscheduled and incomplete treatment and assist with appropriate follow-up.
• Coordinate changes to the schedule and communicate effectively with the clinical team.
• Understand the importance of keeping the schedule productive while maintaining a positive patient experience.
Treatment Planning & Financial Coordination
• Review treatment plans with patients and clearly explain recommended treatment.
• Provide patients with accurate treatment costs and estimated insurance benefits.
• Help patients understand their financial responsibilities and available payment options.
• Schedule treatment and assist patients in moving forward with recommended care.
• Follow up on outstanding treatment and help reduce gaps between diagnosis and completion of care.
• Maintain accuracy and confidentiality when handling patient financial information.
Insurance & Billing
• Verify and update patient insurance information.
• Complete insurance setups and maintain accurate insurance records.
• Understand dental insurance benefits, deductibles, maximums, frequencies, waiting periods, and common limitations.
• Submit and follow up on insurance claims.
• Review insurance estimates and assist with patient questions regarding benefits and balances.
• Post payments and maintain accurate patient accounts.
• Identify and address billing issues in a timely manner.
• Maintain attention to detail when working with insurance and financial information.
Open Dental & Administrative Responsibilities
• Utilize Open Dental for scheduling, patient records, treatment plans, insurance information, billing, and communication.
• Maintain accurate and complete patient information.
• Ensure necessary forms, insurance information, and patient documentation are collected and updated.
• Maintain HIPAA compliance and protect patient confidentiality.
• Communicate effectively with doctors, hygienists, assistants, and the administrative team.
• Assist with general front-office duties as needed
