Dirt Construction Project Coordinator / Administrative Assistant

About the Position
We are seeking a highly organized and detail-oriented Dirt Construction Project Coordinator / Administrative Assistant to support our construction projects and office operations. This position will work closely with General Contractors, Subcontractors, project managers, field crews, and vendors to help keep projects organized, documented, and moving forward.
The ideal candidate has experience in the construction industry, understands the day-to-day demands of dirt and site development projects, and is comfortable managing both administrative responsibilities and project coordination tasks.
Key Responsibilities
• Coordinate administrative and project-related activities for dirt construction and site development projects.
• Communicate regularly with General Contractors, Subcontractors, vendors, and internal field personnel.
• Assist with project scheduling, documentation, correspondence, and tracking.
• Prepare, organize, and maintain project files, records, and documentation.
• Assist with monthly pay applications, including collecting quantities, backup documentation, and supporting paperwork.
• Review and organize subcontractor and vendor invoices, pay applications, and supporting documentation.
• Assist with 811 utility locate requests, tracking tickets and coordinating information as needed.
• Maintain project logs, spreadsheets, schedules, and other tracking documents.
• Prepare and distribute project correspondence, meeting notes, reports, and other documents.
• Assist with purchase orders, change orders, subcontracts, and other project documentation.
• Track project quantities, costs, and other information as requested by project management.
• Help ensure required paperwork and documentation are submitted accurately and on time.
• Provide general administrative support to project managers and company leadership.
• Perform other duties related to construction project coordination and office administration.
Required Qualifications
• Previous experience in construction, dirt work, site development, excavation, or a related industry preferred.
• Proficient in Microsoft Word and Microsoft Excel.
• Experience with or strong understanding of 811 utility locating procedures.
• Experience preparing, reviewing, or processing construction pay applications.
• Strong organizational skills and attention to detail.
• Ability to communicate professionally with General Contractors, Subcontractors, vendors, and employees.
• Ability to manage multiple projects, deadlines, and priorities simultaneously.
• Strong written and verbal communication skills.
• Ability to read and understand basic construction documentation.
• Ability to work independently while also functioning effectively as part of a team.
• Professional, dependable, and willing to take ownership of assigned responsibilities.
Preferred Qualifications
• Experience with dirt work, grading, excavation, underground utilities, site preparation, or civil construction.
• Experience working directly with General Contractors and Subcontractors.
• Familiarity with construction contracts, change orders, purchase orders, and subcontract agreements.
• Experience with construction estimating, quantity tracking, or project accounting.
• Experience with construction management or project management software.
