I am seeking an organized, proactive, and detail-oriented Executive/Administrative Assistant to help me accomplish goals that I have set out in a multi-year plan. My Executive/Administrative Assistant will track projects, schedules, and keep operations running smoothly. This is a hands-on role for someone who thrives on structure, enjoys solving problems, and can juggle multiple priorities without losing track of the details. There are two companies Mow-N-Edge Corporation, a landscape contractor doing maintenance for public entity contracts and Santa Ana Park Corporation, a real estate development company which is building single family residential homes in Clovis, CA.
My Executive/Administrative Assistant will work directly with me and be the key player in day-to-day operations, managing calendars and communications to track project timelines, permits, contracts, and vendor relationships. Furthermore, the assistant will work with my attorney's to keep my estate plan in order, work with my financial advisor and CPA firm to be sure all financial statements are current and accurate, that government filings and payments are timely.
You will:
- Manage scheduling, calendars, and appointments
- Liaison with accounting and legal professionals
- Organize and maintain project files, contracts, and permits
- Track deadlines for permits, inspections, closings, and contractor deliverables
- Handle correspondence with contractors, vendors, lenders, agents, and municipal offices
- Assist with bookkeeping tasks, invoice tracking, and expense organization
- Coordinate meetings and prepare notes/action items
- Conduct research (zoning, vendors, materials, market data) as needed
- Support general office and project administration
- Help streamline systems and processes as the objectives of our plan are accomplished
You must have:
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfortable with Microsoft Office/Google Workspace; familiarity with project management or accounting software (e.g., QuickBooks, Excel, Asana, Trello) a plus
- Self-starter who can work independently and anticipate needs
- Discretion with confidential and financial information
- Prior experience in real estate, construction, property management, or a related administrative role preferred but not required
- A valid driver's license (occasional local travel to job sites or offices may be required)
- Salary commensurate with experience with benefits negotiable
