Compensation: Competitive (commensurate with experience)
Company Overview
We are a premier, full-service Mitigation Restoration and Reconstruction Company dedicated to helping property owners recover quickly and seamlessly from water, fire, mold, and storm damage. We pride ourselves on delivering exceptional emergency mitigation and structural reconstruction services, guided by strong industry standards and a commitment to quality. We are seeking a dynamic, highly organized, and results-driven Mitigation/Restoration Debt Collector to join our administrative and finance team.
Position Overview
The Mitigation & Restoration Debt Collector is responsible for helping managing the accounts receivable lifecycle specifically within the property damage restoration and construction industry. This includes overseeing insurance claims collections, communicating with mortgage companies, third-party administrators (TPAs), and property owners, and resolving billing discrepancies. The ideal candidate understands the unique billing workflows of emergency mitigation and reconstruction (e.g., Xactimate scopes, insurance deductibles, and assignment of benefits) and can maintain a high standard of professional communication while recovering outstanding funds.
Key Responsibilities
Accounts Receivable & Collections: Manage the active collections pipeline for commercial and residential mitigation and reconstruction projects, reducing Days Sales Outstanding (DSO) and aging receivables.
Insurance & TPA Coordination: Follow up on pending insurance claims, interact with insurance adjusters, mortgage departments, and TPAs to ensure timely release of claim checks and insurance proceeds.
Client & Vendor Communication: Handle inbound and outbound collection calls and correspondence with homeowners, commercial clients, and property managers with empathy, professionalism, and firmness.
Billing & Documentation Review: Cross-reference invoices, mitigation logs, and completed scopes of work against approved estimates (e.g., Xactimate) to ensure billing accuracy prior to collection efforts.
Payment Processing & Accounting: Post payments accurately into accounting and job management platforms, manage payment plans, and process credit card or ACH transactions.
Dispute Resolution: Investigate and resolve billing disputes by working collaboratively with Project Managers, Estimators, and field staff.
Reporting & Tracking: Maintain detailed collection logs, provide aging reports to management, and escalate severely delinquent accounts for liens or legal review when necessary.
Administrative Support: Assist the finance and administrative team with general accounting inputs, audit preparation, and other fiscal tasks as needed.
Qualifications & Requirements
Industry Experience: Minimum 2–4 years of experience in commercial or consumer collections, accounts receivable, or medical/construction billing—experience within the property restoration or insurance claims industry is strongly preferred.
System Proficiency: Strong technical skills, including proficiency in QuickBooks, JobNimbus (or similar CRM/job tracking software), Microsoft Excel, and Word. Familiarity with Xactimate is a significant plus.
Communication Skills: Exceptional verbal and written communication skills in English; bilingual (English/Spanish) is a strong plus. Ability to de-escalate tense financial conversations while remaining firm and professional.
Industry Knowledge: Basic understanding of construction terminology, mitigation billing practices, insurance claim procedures, mechanics' liens, and assignment of benefits (AOB) is highly desirable.
Attention to Detail: High level of accuracy in data entry, financial reconciliation, and record-keeping.
Work Ethic & Adaptability: Self-motivated, proactive, and capable of thriving in a fast-paced environment where priorities can shift rapidly. Willingness to work occasional overtime (1–2 hours during the week) during high-volume periods or month-end close.
Reliability: Must have reliable transportation and the ability to travel locally to client sites or offices if required.
