Operations Lead
Pixie Scout Workplace Food Services: Etsy (Full-Time, Onsite)
The Operations Lead role is a full-time position on Pixie Scout’s Workplace Food Services team at Etsy, responsible for directing all operational aspects of the food program, including: centralized spreadsheet-based systems, internal and external communications, supplies and equipment, team management, menu planning, data reporting, and the Pantry Program.
A qualified Operations Lead is deeply knowledgeable in hospitality, food retail, and food service operations; a skilled leader, manager, and communicator; a diligent multi-tasker that can oversee several concurrent food services and program elements while engaging in operational planning for future services and submitting reports on past services; a charismatic and highly visible representative of Pixie Scout in a corporate office setting; and is highly skilled in administrative tasks, written communication, and spreadsheet-based systems.
The Operations Lead works closely with the Culinary Lead in leading the program and managing the team, and reports to the Director of Workplace Food Services.
Duties include the following:
Daily Operational Oversight
Building, operating, and maintaining spreadsheet-based systems to ensure all information related to weekly services and operations is centralized, coordinated, accurate, and ready to support the necessary operations and communications
Distributing menu information to Etsy to support Etsy-controlled digital signage and communications, ensuring it is accurate and consistent with physical signage
Creating, printing, and posting all physical signage, ensuring they are accurate and consistent with information shared to Etsy
Coordinating with Etsy and third-party vendors, including participating in regular meetings, in order to:
Ensure all food service equipment is in good working order, including equipment owned and maintained by Etsy
Receive feedback and implement remediations to food service or operations
Support successful collaboration with third-party vendors
Support and facilitate updates to infrastructure or equipment that impacts the food program
Ensure the successful integration of Pixie Scout employees into building infrastructure, including badge access and locker assignments
Maintaining inventory of (non-food) tools and supplies, inventorying and procuring as necessary
Maintaining team communications tools, including Slack messaging and radio system
Leading regular meetings with members of Pixie Scout leadership to support ongoing operations
Facilitating cross-training between Culinary Lead and Operations Lead, to support strong collaboration and mutual coverage
Working closely with the Etsy Chef Residency Program Manager (ECRPM) to oversee the operational components of the Chef Residency Program:
Providing consultation on preliminary menus from guest chefs, to ensure they meet all standards and deliverables
Hosting guest chefs onsite at Etsy for various residency days
Together with ECRPM, Culinary Lead, and Director of Culinary Resources, leading the Culinary Session day to ensure all aspects of the chef’s menu are properly recipe tested, and adapted as needed to fit the needs of the program
Closely following operations of programs that overlap with, or are adjacent to, the food program at Etsy, and directly supporting those programs as needed (including: Events Catering at Etsy, Pixie Scout community food access initiatives, any distribution of food product from Etsy to other locations)
Team Training and Management
Together with the Culinary Lead, managing several different teams – including Culinary Production; Service and Expo; Facilities, Inventory and Receiving (F.I.R.); and Pantry Stocking
Leading recruiting, hiring, and onboarding processes for these teams, as well as assessment and disciplinary processes, together with Director of Team Resources
Creating and sharing weekly schedules for these teams in a timely manner, ensuring that all schedules meet the operational needs of the program while in compliance with scheduling guidelines
Verifying and reporting time sheets and time off to Director of Operations, to support weekly payroll submission
Monitoring latenesses and unexcused absences
Leading team meetings as needed, including weekly Etsy Operations meetings
Maintaining documentation on employee policies that are specific to the Workplace Food Services program at Etsy
Leading the F.I.R. + Pantry team in:
Receiving all Pantry Program products through the loading dock, as well as logging these deliveries in the appropriate spreadsheets and communications channels
Distributing Pantry Program inventory to the proper storage space(s), and keeping them organized
Keeping Pantry service areas fully stocked, clean, and well-maintained, at the appropriate times
Quickly addressing shortages or interruptions to service, such as “kicked” kegs or empty coffee pots
Cleaning and performing basic daily maintenance on Pantry Program equipment
Food Safety and DOHMH Compliance
Together with Culinary Lead, responsible for comprehensive knowledge of relevant DOHMH standards and policies, and ensuring compliance across all team members and preparation and service spaces
Participating in regular walkthroughs with representatives from Etsy to flag any potential compliance issues across food and pantry service, production, and storage spaces
In the case of a food service inspection by DOHMH, Operations Lead will be responsible for escorting the inspector through all onsite preparation and service spaces
Coordinating with Etsy directly to ensure all necessary DOHMH administrative steps are completed in a timely manner
Procurement and Inventory Management
Supporting Culinary Lead in procurement, receiving, and inventory management related to (non-Pantry) food program
Procurement of all Pantry Program products, including placing all orders and managing vendor accounts.
Overseeing any outbound distribution obligations (such as equipment returns, food production fulfillment for other Pixie Scout programs, or community food access initiatives)
Menu Planning
Together with Culinary Lead, leading the quarterly menu development process, ensuring that each quarter’s menu meets all standards and deliverables across all food and/or pantry services
Distributing advance menu drafts to Etsy, soliciting feedback, and implementing remediations as needed
Client Interfacing
Serving as the primary point of contact between Etsy and Pixie Scout on all matters related to the food program (from day-to-day requests to broader programmatic developments) ensuring communications are directed to the Operations Lead rather than routed informally to Pixie Scout Directors
Determining when an issue must be escalated to the Director of Workplace Food Services (or other appropriate Pixie Scout leadership), and doing so in a timely manner
Proactively communicating relevant updates, changes, or potential issues to Etsy before they become concerns
Maintaining professional, consistent, and solutions-oriented communication with Etsy through regular meetings as well as written and in-person communications
Internal and Client-Facing Reporting
Submitting accurate billing information to Pixie Scout Accounting weekly for all food and pantry services
Collecting accurate data on aspects of the food program including sales volumes, item performance and popularity, overages and shortages, donation and community food access contributions, etc.
Compiling data on food and pantry services into insights and sharing to Etsy in weekly and quarterly reports
Monitoring various Etsy-operated food program feedback channels
Compiling feedback into trends and insights, and reporting them in quarterly reports, alongside any remediation steps
Pixie Scout Leadership
Participating in Pixie Scout's Workplace Food Services expansion project, contributing to the division’s growth by helping develop new client relationships beyond Etsy
Engaging in expansion-related meetings alongside other Pixie Scout leadership
Supporting the operational side of expansion by helping templatize the operational structure developed at Etsy, so it can serve as a foundation for new programs
Contributing to this project as capacity allows, with involvement expected to expand and contract alongside the weekly schedule and priorities of the Operations Lead role. This work does not change the length or shape of the standard workweek and is included within the overall responsibilities covered by the role's salary
Meeting semi-annually with Pixie Scout Leads across departments to reflect on successes and room for improvement, and discuss forward-looking strategy
Job requirements:
4+ years of professional hospitality, food and/or beverage experience
1+ year of professional hospitality operations leadership experience
Understanding of and adherence to NYC DOHMH standards and policies
NYC Food Protection Certificate required
Able to stand for at least 8 hours and complete tasks that may require lifting up to 50 lbs.
English Language Proficiency: written and verbal fluency required
Computer Skills: Google Workspace applications including Docs and Sheets, mobile applications including Slack and Homebase
Job details:
40-45 hour work week, Monday - Friday
Daily schedule that falls between 6:30 AM - 5:30 PM
For this position, we are offering a salary range of $75k - $85k
