We are seeking a dedicated and professional Front Desk Associate to join our team. As the first point of contact for our patients, you will help provide outstanding service and ensure a smooth, welcoming experience throughout each visit. Responsibilities include patient care coordination, clinical support, and administrative duties.
This is a part-time position of approximately 20 hours per week. Availability may include weekdays and Saturdays.

PATIENT CARE COORDINATION:
Greet and welcome patients while maintaining a professional and serene waiting area.
Check patients in and ensure they are prepared for treatment.
Confirm that all required consent and treatment forms have been completed.
Schedule and manage appointments based on patient preferences and provider availability.
Deliver compassionate, professional, and attentive customer service.
CLINICAL SUPPORT:
Organize treatment supplies, instruments, and equipment.
Prepare treatment rooms according to the day’s scheduled services.
Maintain a clean, organized, and hazard-free environment throughout the clinic.
Assist with supply replenishment and inventory management.
ADMINISTRATIVE DUTIES:
Manage correspondence by phone, email, chat, and in person.
Assist with bookkeeping, billing, and insurance-related administrative tasks.
Maintain accurate operating reports, including provider logs, daily status reports, and insurance submission logs.
Verify inventory and receive supply deliveries.
Maintain the cleanliness and organization of the reception area, treatment rooms, and lavatories.
REQUIRED QUALIFICATIONS AND SKILLS:
A minimum of two years of experience in a medical office, acupuncture clinic, or integrative medicine practice is required.
At least two years of front desk or administrative office experience.
Knowledge of HIPAA requirements and the proper handling of confidential patient information.
Excellent customer service and communication skills.
Strong computer skills and proficiency with both Mac and PC systems.
Experience using appointment scheduling and practice-management software.
Ability to enter and maintain information accurately and efficiently.
Strong attention to detail, professionalism, organization, and problem-solving skills.
General bookkeeping knowledge.
PREFERRED QUALIFICATIONS:
Experience using Boulevard scheduling and practice-management software is strongly preferred and considered a plus.
Familiarity with acupuncture, integrative medicine, complementary medicine, or wellness-based services.
Experience with medical billing, insurance verification, or insurance submissions.
EDUCATION:
High school diploma or General Equivalency Diploma required.
COMPENSATION:
Starting pay is $18 per hour.
