Maintenance Project Manager
Patos Property Management
Bellingham WA | Full time and in person | $84,000–$109,000 annually
Anticipated start date: November 2, 2026. Applications accepted until filled.
Patos Property Management is hiring a Maintenance Project Manager to assess repair needs, coordinate vendors, and manage maintenance and rental turnovers. Our approach is doing the basics extraordinarily well. Each property is a family’s home and an owner’s asset. You will help residents receive prompt service while protecting the condition and long-term value of the homes we manage.
You will report to Dane Larsen, Co-Owner and Broker, with no direct reports. The portfolio includes approximately 240 rental units, with about 50 maintenance requests and 10 turnovers per month. Actual volume varies.
Location and schedule
Work from our office at 2209 Elm St, Suite 200, Bellingham, WA 98225, with property travel throughout Whatcom and Skagit counties. The regular schedule is Monday–Friday, 7:00 a.m.–3:30 p.m., including a 30-minute meal period and two paid 10-minute breaks. Additional work is expected as maintenance needs require.
After onboarding and a documented handoff, serve as the primary maintenance emergency contact every evening, weekend, and holiday, except approved time off. We currently average about one after-hours call per month; actual volume varies. Dane provides backup and covers approved absences. Dispatch emergency service within one hour of a request being submitted through the designated emergency channel.
What you will do
• Manage requests from first contact through verified completion. Gather details, photos, safety concerns, and access information; guide safe basic troubleshooting and document work in Rentvine.
• Acknowledge routine requests within one business hour during your assigned schedule. Coordinate access and scheduling, keep residents informed, and maintain a documented next step for every open request.
• Select and coordinate qualified vendors using property-specific preferences. Recruit, vet, negotiate with, and evaluate additional vendors as needed.
• Prepare clear scopes, budgets, schedules, and material standards. Compare estimates and invoices, resolve discrepancies, check warranties, and approve work within delegated spending authority.
• Assess homes after move-out and coordinate repairs, cleaning, landscaping, utilities, locks, and listing readiness. Track deadlines, dependencies, and approved changes.
• Physically assess every completed turnover before move-in, prepare correction lists, and verify that required corrections are completed.
• Assess reported water damage and mold concerns safely, document observations, and arrange qualified assessment and repairs. Document possible resident-caused damage and recommend charges for management review.
• Maintain appliance and HVAC records, repair histories, warranties, property standards, and preventive maintenance schedules. Recommend repair or replacement using cost and condition information.
• Rekey units during turnovers and install new lockboxes. The role primarily involves vendor coordination, project management, and assessment.
• Review service times, costs, callbacks, and turnover delays. Recommend improvements, escalate material risks, and protect resident information, keys, and property access.
What you bring
• At least five years of construction experience, or experience working as a building inspector.
• Practical trade knowledge and sound judgment when assessing repair needs, workmanship, costs, and the need for qualified professionals.
• Clear communication, dependable follow-through, and the ability to prioritize independently and manage multiple projects using digital records and systems.
• Availability for the emergency coverage described above, a valid driver’s license, and a safe, reliable personal vehicle for business travel.
Personal auto liability coverage must be at least $100,000 per person and $300,000 per accident, with Patos named as an additional insured or an approved alternative arranged before business driving. No real estate broker license or external coursework is required.
Property visits may involve crawlspaces, uneven surfaces, getting on the ground, and lifting or moving items over 50 pounds with appropriate assistance and equipment. Reasonable accommodations will be considered. Work must stay within your training, qualifications, and authorization.
