Position Summary
This position is built around one primary role with a smaller secondary role attached. The Bookkeeper function is the core of the job — approximately 30 hours per week — maintaining accurate financial records across all active TBB projects: accounts payable and receivable, project billing, job costing, payroll, and compliance reporting, with particular expertise in construction accounting and time-and-materials job costing. The remaining approximately 10 hours per week are dedicated to Office Administration, an entry-level role supporting daily office operations, reception, internal communications, and event coordination. This role suits a detail-oriented professional grounded first in bookkeeping precision, who can also move fluidly into front-of-house responsibility.
Key Responsibilities
Bookkeeping & Accounting (Primary — approx. 30 hrs/week)
• Maintain and reconcile general ledger accounts, accounts payable, and accounts receivable.
• Process invoices and weekly payments to subcontractors and vendors, and run weekly payroll for all active employees.
• Generate and track project billing (deposit, progress, and final invoices) and job cost reports.
• Ensure compliance with tax regulations, W-9/1099 filing, lien releases, and WA L&I reporting.
• Manage the JobTread–QuickBooks integration and prepare monthly/quarterly financial reports for ownership.
Office Administration (Secondary — approx. 10 hrs/week)
• Serve as the first point of contact for calls, visitors, and deliveries.
• Maintain a clean, professional office environment and manage supplies.
• Provide Tier-1 technology support and coordinate with outside IT as needed.
• Plan and support internal events (quarterly meetings, trainings, staff milestones).
• Draft the monthly internal newsletter and support internal communications.
Qualifications
• Minimum 6 years of construction bookkeeping/accounting experience.
• QuickBooks Online and QuickBooks Desktop proficiency required.
• Associate or bachelor’s degree in accounting, finance, or a related field (preferred).
• Entry-level for the Office Administration portion — no prior office administration experience required; training provided on the job.
• Excellent organizational skills with strong attention to detail and the ability to manage multiple tasks simultaneously.
• Strong interpersonal and communication skills, a professional demeanor, and sound judgment handling confidential information.
• Valid driver’s license.
Working Conditions & Schedule
• Full-time, hourly, non-exempt, 40 hrs/wk — fully on-site at TBB headquarters.
• Monday – Friday, 8:00am – 4:30pm.
• Service area includes Whatcom and Skagit Counties.
