Part-Time Construction Administrative / Project Assistant
Location: Driftwood / Darden Hill area – 78737
Schedule: Monday–Friday, approximately 9:00 AM–3:00 PM
Hours: Approximately 30 hours per week
We are a growing family-owned construction company looking for a dependable, organized, and motivated Administrative / Project Assistant to help manage the day-to-day administrative and project coordination needs of our electrical and manufactured home construction businesses.
This position is ideal for someone who is a self-starter, highly organized, comfortable working independently, and does not require constant supervision or micromanagement.
Responsibilities
QuickBooks invoicing and basic bookkeeping support
Prepare and organize contractor and customer invoices
Assist with construction project tracking
Coordinate permits with cities, counties, and other municipalities
Schedule and track inspections
Follow up on permit and inspection statuses
Maintain project spreadsheets, lot tracking, and job records
Coordinate with subcontractors, contractors, customers, and municipalities
Assist with Certificates of Insurance, W-9s, vendor packets, and contractor documentation
Manage emails and routine customer/project communications
Follow up on outstanding project items and deadlines
Help keep multiple active construction projects organized
Create and maintain checklists, workflows, procedures, and organizational systems
Help develop processes and systems as the company continues to grow
Learn different municipality permitting portals and requirements
Occasionally travel to job sites, municipal offices, or other project-related locations as needed
A company vehicle will be provided when job-related travel is required.
Qualifications
Experience with QuickBooks and invoicing
Administrative or project coordination experience
Construction industry experience strongly preferred
Comfortable learning permitting and inspection processes
Strong organizational and follow-up skills
Ability to manage several projects and deadlines at once
Detail-oriented and dependable
Strong written and verbal communication skills
Comfortable using computers, email, spreadsheets, online portals, and cloud-based systems
Able to identify what needs to be done and take initiative without being continuously directed
Experience creating organizational systems or improving office processes is a strong plus
Bilingual English/Spanish is a strong plus
