I’m looking for a capable, organized assistant to work with me across design, construction, and architectural projects.
This is not a basic receptionist or data-entry position. I need someone who can understand what is happening on a project, communicate clearly with clients and vendors, keep people moving, and help turn a lot of conversations and moving pieces into an organized plan.
My work involves residential design/build, outdoor spaces, decks, landscape elements, custom fabrication, furniture, materials, and architectural details.
### What I need help with
- Coordinating schedules between clients, crews, vendors, designers, and subcontractors
- Following up with people and making sure things actually get done
- Communicating with clients by text, email, and phone
- Organizing project information, notes, photos, drawings, selections, and decisions
- Keeping calendars and project schedules current
- Helping prepare clear instructions for draftsmen, fabricators, installers, and field crews
- Requesting pricing, lead times, availability, and information from vendors
- Tracking outstanding decisions and following through on them
- Reviewing drawings, plans, measurements, and design information
- Helping organize proposals, selections, procurement, and project documentation
- Generally taking coordination and communication work off my plate before it turns into a pile
### The person I’m looking for
You communicate extremely well.
You are organized without needing someone to constantly organize you.
You can look at a drawing, photograph, floor plan, site plan, or construction detail and understand what you are looking at.
You have good visual judgment and an interest in architecture, interiors, landscape, construction, furniture, or design.
You are comfortable talking to both a homeowner and a contractor.
You know how to follow up without being annoying, and you are not afraid to pick up the phone when something needs to be resolved.
You can write a clear email, take useful notes, build a schedule, and recognize when something important is missing.
Experience in architecture, interior design, construction, landscape design, project management, fabrication, or a design-build company would be especially useful.
CAD or drafting experience is a plus, but this is primarily a **communication, coordination, and project organization role**, not a drafting position.
I care much more about intelligence, judgment, communication, organization, and follow-through than a particular degree.
The right person will eventually know enough about the projects to handle a substantial amount of day-to-day coordination independently.
