Fortunium Wealth Management is seeking a dependable, organized, and proactive Part-Time Administrative Assistant to help manage the day-to-day administrative responsibilities of our growing financial planning practice. This position is ideal for someone who takes ownership of their work, pays close attention to detail, follows through on tasks, and enjoys creating order and efficiency. The primary goal of this role is to take administrative responsibilities off the advisor’s plate, allowing the advisor to spend more time serving clients, conducting meetings, developing financial plans, and growing the practice.
Starting Pay: $22 per hour
Schedule: Approximately 3–5 hours per day between 9am and 2pm, Mondays through Fridays
Location: Apollo Beach, Fl
Opportunity: This position has the potential to develop into a full-time role as the firm continues to grow.
Primary Responsibilities Include:
-Open and process new client accounts and ensure all required documentation is completed accurately.
-Prepare and process deposits and checks into client investment accounts.
-Process client distributions, withdrawals, transfers, and other service requests.
-Identify and resolve NIGOs (Not in Good Order) and outstanding account paperwork.
-Follow up with clients regarding missing signatures, forms, documents, or other required information.
-Coordinate with our broker-dealer, custodians, product companies, and other financial institutions to resolve client service matters.
-Schedule, confirm, and coordinate client meetings and appointments.
-Prepare paperwork and necessary documents for upcoming client meetings.
-Maintain accurate and organized client records and files.
-Track outstanding client requests and follow through until each item is completed.
-Assist with account transfers, beneficiary changes, address changes, bank changes, and other account maintenance requests.
-Answer and direct phone calls and assist clients with routine administrative questions.
-Assist with client onboarding and help create a professional and welcoming experience for new clients.
-Maintain and update the firm’s CRM, client database, calendars, and internal administrative systems.
-Assist with scanning, uploading, filing, and organizing client documentation.
-Help manage correspondence, emails, forms, and administrative follow-up.
-Maintain confidentiality and properly handle sensitive client and financial information.
-Look for ways to improve office procedures and create a more efficient workflow.
-Handle other administrative responsibilities as needed to help the office operate smoothly.

The Ideal Candidate
We are looking for someone who is highly organized, dependable, professional, detail-oriented, and proactive. The right person should not simply wait to be told what to do—they should be comfortable identifying outstanding tasks, following up, solving administrative problems, and making sure things get completed. Experience working in a financial advisory, brokerage, banking, insurance, or financial services office is strongly preferred, particularly experience with new account paperwork, money movement, account maintenance, and resolving NIGO items.
Ultimately, this person should become an important part of the Fortunium Wealth Management team by helping eliminate administrative headaches, improve the client experience, and keep the office organized and operating efficiently.
